Job Summary

We are recruiting on behalf of a client who is seeking a Junior Imports Controller.
The purpose of this role is to facilitate the seamless and compliant importation of goods by managing all documentation overseeing customs clearance processes and coordinating effectively with key stakeholders. This role is crucial in ensuring timely deliveries optimising costs and upholding adherence to international trade regulations thereby supporting the overall efficiency and success of the supply chain.

1. Documentation Preparation
  • Assist in preparing and managing all necessary import documentation including purchase orders shipping documents and customs declarations.
  • Ensure that all documents are accurate complete and compliant with relevant regulations.
2. Compliance Monitoring
  • Support the compliance process by ensuring that all imports adhere to local national and international trade regulations and customs laws.
  • Stay updated on changes in import regulations and policies.
  • Resolve Custom Queries
3. Shipment Coordination
  • Collaborate with suppliers freight forwarders and customs brokers to coordinate the logistics of incoming shipments.
  • Track and monitor shipments to ensure timely delivery.
4. Inventory Tracking
  • Assist in managing inventory by updating records of incoming shipments and reconciling inventory levels.
  • Help maintain accurate stock records to facilitate inventory control.
5. Problem Resolution
  • Identify and assist in resolving issues related to import shipments such as delays discrepancies or compliance concerns.
  • Communicate with relevant parties to address problems promptly.
6. Cost Monitoring
  • Assist in monitoring import costs and help identify opportunities for cost savings in the supply chain.
  • Support the preparation of reports related to import expenses and efficiency.
  • Preparation of payments
  • Profit and Loss journals to be captured if needed.
7. Data Management
  • Collect and analyse data related to import activities to identify trends and areas for improvement.
  • Help maintain databases and records related to imports for reporting and analysis.
8. Communication and Collaboration
  • Maintain effective communication with internal teams suppliers and logistics partners to ensure smooth import operations.
  • Collaborate with cross-functional teams to support overall supply chain objectives.
  • Communicate with customs clearing agents transporters and submit clearing documents.
9. Administrative Support
  • Provide administrative support to the imports department including filing scheduling meetings and managing correspondence.
  • Assist in preparing reports and presentations related to import activities.
  • Liaise with Internal Departments: Raw Materials Receiving Sales Production Planning Accounts.
10. Continuous Learning
  • Stay informed about industry trends best practices and advancements in import logistics.
  • Participate in training and development opportunities to enhance knowledge and skills in import management.

Assist with ad hoc duties not limited to the above as and when required.


Requirements

  • Bachelors degree in Supply Chain Management Logistics Business Administration International Trade or a related field.
  • An associate degree or diploma in a relevant area may be considered for entry-level positions.
  • Experience with SAGE Pastel and MS Excel.
  • Relevant Certifications (beneficial but not required):
  • Certification in logistics or supply chain management such as:
  • Certified Supply Chain Professional (CSCP)
  • Certified International Trade Professional (CITP)
  • Import/Export Certification from a recognized institution.
  • 0-2 years of experience in import/export operations logistics or supply chain management is preferred.
  • Internships or co-op experience in related roles can also be valuable.

Technical Skills
  • Familiarity with import/export regulations customs procedures and documentation requirements.
  • Basic understanding of logistics software and supply chain management systems.
Communication Skills
  • Strong verbal and written communication skills for effectively interacting with suppliers freight forwarders and internal teams.
  • Ability to prepare clear and concise reports and documentation.
Analytical Skills
  • Strong analytical skills to assist in data collection and problem-solving related to import activities.
  • Ability to analyse trends and make data-driven decisions.
Organizational Skills
  • Excellent organizational skills to manage multiple tasks and priorities effectively.
  • Attention to detail for accurate documentation and record-keeping.

  • Good interpersonal skills for building relationships with colleagues suppliers and logistics partners.
  • Ability to work collaboratively within a team environment.
