What You Can Expect

Role Summary

The Associate Workplace Specialist is responsible for day-to-day office operations ensuring a well-managed efficient and employee-friendly workplace. This role owns administration space utilization employee experience vendor coordination and cost tracking acting as the primary interface between employees service providers and internal stakeholders.

1. Office Operations & Administration

  • Manage daily office operational requirements to ensure smooth functioning
  • Oversee stationery procurement inventory control and distribution.
  • Ensure availability of office supplies pantry items and consumables.
  • Prepare and send employee communications on facility operational needs.
  • Create and manage facilities Standard operating procedures.
  • Manage and track facilities tickets within SLAs for all Facilities management services and monthly/Quarterly reporting.

2. Space Management

  • Manage allocate and track workspace utilization including seating cabins and shared areas.
  • Maintain updated seating plans and occupancy data.
  • Coordinate with IT teams on space changes including equipment setup.
  • Support onboarding and internal moves from a space readiness perspective.

3. Employee Experience

  • Act as the first point of contact for employee workplace-related queries and concerns.
  • Ensure consistent delivery of workplace services aligned with company standards.
  • Support onboarding offboarding and return-to-office programs.
  • Proactively identify opportunities to improve employee comfort and engagement.

4. Event Management & Support

  • Plan and execute internal events leadership visits guest tours town halls and employee engagement activities.
  • Manage logistics including venue setup seating AV catering and vendor coordination.
  • Ensure events are delivered within approved budgets and timelines.
  • Ensure a professional and seamless experience for executives customers and visitors.

5. Stakeholder Management

  • Liaise with HR IT Security Finance and Business teams to ensure seamless office operations.
  • Coordinate with leadership and functional heads on workplace requirements.
  • Communicate operational updates and service related information to employees.

6. Budget Tracking & Ownership

  • Track office operating expenses and service costs.
  • Support budget planning forecasting and cost control initiatives.
  • Validate vendor invoices and support timely payments.
  • Identify opportunities for cost optimization without impacting service quality.
  • Manage yearly allocated budget for operations.

7. Vendor & Contract Management

  • Monitor vendor performance against SLAs and KPIs.
  • Validate invoices manage budgets and support cost optimization initiatives.
  • Coordinate renewals and compliance documentation from vendors.
  • Ensure contract renewals and purchase order issuance on time.

What Were Looking For

Your Qualifications

  • Bachelors degree preferred with a minimum of 10 years of experience in office and/or facilities management.
  • Strong organizational and multitasking skills with a customer-service mindset and high attention to detail.
  • Solid experience in vendor coordination service delivery management and SLA compliance.
  • Good understanding of budget management cost tracking and cost optimization to ensure operational efficiency.
  • Effective communication and stakeholder management skills with proficiency in both written and verbal English and Vietnamese.
  • Strong facilitation relationship-building and problem-solving abilities to support teamwork and daily operations.
  • Demonstrated capability to maintain office uptime service continuity and acceptable workplace conditions.
  • High integrity with strong ethical and professional standards combined with an approachable collaborative and responsive working style.
