Job Summary

At HCA our Health Solutions group supports a diverse range of clinical services connecting doctors and allied health professionals with rewarding roles across healthcare settings throughout Australia. We are seeking two Administration & Operations Coordinators to join our team providing critical operational support across our Health Solutions services and ensuring seamless high-quality support for clinicians clients and internal stakeholders.

In this fast-paced positions you will help keep systems billing compliance and service coordination running smoothly contributing to the broader success and efficiency of the Health Solutions group and driving excellence in care delivery and operational performance.

Whilst both of these roles are based at our Melbourne head office one will have some initial onboarding in Mornington; candidates located in Melbournes south-east may find this particularly convenient.

In this role you will provide operational support/admin across a variety of clinical services. Including:

  • Collating and approving timesheets and liaising with payroll providers
  • Preparing supplier invoices and supporting client billing processes
  • Coordinating referrals and maintaining accurate client and Medicare records
  • Supporting clinician rostering and scheduling activities
  • Preparing operational reports to support decision-making and performance monitoring
  • Contributing to process improvement initiatives to enhance efficiency and outcomes
  • Supporting compliance and back-office processes to ensure smooth service delivery

Lets talk about you

You are an organised and reliable administration or business support professional who enjoys working in a busy environment with multiple systems and stakeholders.

You have experience in administration operations support or customer service and are comfortable handling tasks such as billing compliance and data management.

You communicate clearly by phone and email can prioritise competing tasks and take pride in helping your team and operations run smoothly.

While experience in healthcare recruitment or aged care is a plus we also value familiarity with timesheets invoicing Medicare or compliance processes and an interest in finding ways to improve how things work.
