Hours: 37.5/hrs. 52 wks.

Salary Range: $47234 - $75574 annually

Summary of Responsibilities:

Under the direction of the Director of Operational Accounting the Accounts Payable Manager is responsible for complete oversight and management of the Agency accounts payable process. This position directs and oversees the daily management of the accounts payable staff and systems associated with the payment of invoices ensuring the accuracy of the entire process as it relates to vendor/employee payments processing of purchase orders receiving and payment of invoices and related communications.

Additional duties include processing of checks and vouchers; reviewing coding and recording all financial transactions; producing reports; reconciles cash balances/outstanding checks; providing cash flow needs analysis and forecasting; preparation and issuing of 1099 forms; management and updating of aging schedules; interacts with staff and vendors with regard to A/P payments; and responds to inquiries regarding accounts payables matters.

The Accounts Payable Manager also supervises training and coordinates the work plans of assigned accounts payable to staff and volunteers. The Accounts Payable Manager provides back-up support to Agency/dept. management; and ensures Agency policies/ procedures applicable accounting laws/regulations as well as best practices in financial management are being adhered to regularly regarding all account s payable activities.

Responsibilities also include accounting and auditing clerks producing financial records for the organizations recording financial transactions updating statements and checking financial records for accuracy. Utilizing bookkeeping software online spreadsheets and databases to post financial transactions into the appropriate computer software. Receive and record cash checks and vouchers place costs (debits) and income (credits) into the software assigning each to an appropriate account. Create reports such as balance sheets (costs compared with income) income statements and totals by account. Check for accuracy in totals postings and reports. Reconcile or note any report differences found in the records.

Qualifications:

Education: Bachelor s Degree required in Accounting Finance Business or related field; or Associate Degree in accounting and six (6) years equivalent work experience in accounting and accounts payable/finance.

Experience: Minimum of four (4) years direct work experience in accounts payable; experience working in a public/nonprofit setting desirable; one two (1-2) years of supervisory management or experience in a coordinator s role is required.

  • Requires strong understanding of fundamental financial accounting transaction flows and management; must possess good financial acumen; strong knowledge of basic accounting principles documentation skills research and resolution skills data analysis and multi-tasking skills.
  • Thorough knowledge of applicable accounts payable/general ledger systems and procedures financial chart of accounts and corporate procedures experience working with financial & budget management.
  • Principles and strategies required; knowledge of and experience working on budget and ledger systems required; knowledge of grant/public funding streams helpful; experience in non-profit fund development/resource development legalities policies and practices helpful.
  • Ability to work independently as well as part of a team; must be able to maintain professional boundaries and a high degree of confidentiality; must possess initiative and creativity in completing assigned projects and following directives.
  • Ability to make daily decisions in accordance with Agency /Finance Department policies & procedures; knowledge of federal/NYS finance/general accounting management principles (GAAP) and standards required.
  • Requires strong organizational analytical problem-solving and planning skills; must possess good time management skills; ability to complete assignments in a timely manner and experience working according to deadlines; must be assertive a self- starter and demonstrate initiative in following through on projects and meeting goals; attention to detail and multitasking ability is essential.
  • Requires good verbal and written communication skills; interpersonal and customer relations skills; ability to work with diverse individuals/groups and staff at all organizational levels both internal/ external; experience working with diverse populations in various settings/sectors; ability to exercise tact and discretion in interpreting related finance information directives and all customer service interactions.
  • Proficient use of all Microsoft Office products is required; advanced proficiency in Excel and accounting software including Grants Management System (GMS) required: experience in financial data collection and data base management; experience in financial analysis reporting interpreting and applying accounting theory required; experience creating and interpreting spreadsheets required; knowledge of additional accounting software products/systems/applications and interface systems a plus.
  • Must be highly skilled in dealing with financial and numeric data including use of Excel Spreadsheets Word and 10-key by touch. ACS or knowledge of relevant accounting software experiences a plus.
  • Requires flexibility to work outside of normal business hours including weekends if necessary.
  • Bi-lingual capabilities (Spanish) preferred.
  • Requires a valid NYS Driver s License and access to reliable transportation daily.
