JOB SUMMARY/ESSENTIAL JOB FUNCTIONS:The Administrative Associate 2provides administrative support for the Neuroscience Institute. This position performs duties such as scheduling record keeping coordination of meetings and conferences obtaining supplies and working on special projects.



Responsibilities

DUTIES AND RESPONSIBILITIES:

  1. Coordinates the NI Seminar Series that is part of the Neuroscience Graduate Track curriculum which provides external and internal speakers presenting the latest research in neuroscience to graduate students postdocs faculty staff and guests. The position handles all the scheduling travel honorarium itineraries catering and troubleshooting.
  2. Helps organize NIs Symposia that are open to the public. The position handles all the scheduling travel honorarium itineraries catering and troubleshooting.
  3. Assists in auditing the program accounts posting transactions to the departmental ledger and generating reports via DASH/Oracle.
  4. Maintains the monthly billing for the NIs Imaging Center in iLab and provides reports on Imaging Center income and expenses.
  5. Drafts letters forms and memos for the director and program coordinator as well as purchasing answering phones handling queries and general office duties.
  6. Maintains NI membership information.
  7. Assists the Technical Manager in the Imaging Center by opening and closing the doors turning the equipment on/off and helping as needed.
  8. Maintains confidentiality on all personal and financial documents pertaining to NI employees as well as guest speakers.
  9. Provides customer service to members staff students guests and the public.
  10. Performs other duties as assigned.


Qualifications

MINIMUM REQUIREMENTS:

EDUCATION:High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE:Two (2) years of administrative experience.

KNOWLEDGE SKILLS AND ABILITIES:

  • Strong computer skills including proficiency in Microsoft Word and Excel.
  • Ability to proof data for accuracy.
  • Ability to work independently and collaboratively.
  • Ability to prioritize work and maintain high level confidentiality.
  • Excellent interpersonal written and verbal communications skills.
