Inviting applications for the role of Assistant Manager - PMO Manager
In this role we are seeking candidates who can deliver critical components of client engagements. As a PMO Manager youll play a critical role in driving operational excellence across complex programs. You will orchestrate program governance streamline delivery processes and ensure leaders have the insights they need to make informed decisions. This is an ideal role for someone who loves structure thrives in a fast paced environment and excels at connecting people processes and priorities.

Responsibilities
Program Coordination & Communication
Support program and project communications including running workshops training induction and onboarding sessions and preparing presentation materials using established PMO processes.
Manage the weekly and monthly program/project schedule ensuring forward planning and alignment across the PMO team.
Develop and maintain the program calendar and coordinate resource assignments within the PM tool including setup of new users and tasks.
Governance Processes & Documentation
Maintain portfolio/program processes guidelines and procedural documents ensuring all materials reflect the latest updates to PgEF PEFm and related templates.
Ensure high quality induction materials and onboarding guidelines are available for managers.
Document PMO processes (e.g. resource management scheduling onboarding) and keep all procedural materials current.
Reporting & Analytics
Partner with PMO and Quality Managers to strengthen accuracy and timeliness of reporting across the program.
Generate high quality status reports from the PM tool Supplementary Status Reports and monthly divisional submissions.
Contribute to monthly Steering Committee packs and analyze delivery performance against baselined scope schedule cost and benefits.
Risk Issue & Change Control Management
Maintain all key program control registers including RAID assumptions dependencies key decisions changes and milestones.
Support management of the project funding pipeline and change control submission agenda.
Track program schedule and interdependencies providing insights and feedback to program leadership.
Financial & Resource Governance
In partnership with Finance support reporting for resource stock take requests resource submissions and monthly financial governance.
Oversee requisition and invoice approvals and support processing of Service Requests and SOWs.
SharePoint & Knowledge Management
Ensure all final document versions are stored accurately in the designated SharePoint / intranet locations with audit and security considerations.
Administer and enhance portfolio and project SharePoint sites and maintain an auditable knowledge repository of all program artifacts.
Establish and manage program trackers including NOD CCL Actions Approvals and Milestone registers.
Stakeholder & Meeting Management
Work with PMO and Quality Managers to support Project Managers in meeting deliverable expectations.
Manage working groups and Steering Committees including scheduling minute taking action tracking and updates to the Key Decision Register.
Keep team distribution lists team data sheets and leave calendars current.
Operational & Administrative Support Including but not limited to
Set up programs and projects in the PM tool and ensure timesheet completion (where required).
Support program leadership with ad hoc reporting and priority activities.
Coordinate logistics bookings stationery and property related tasks and manage onboarding/offboarding activities where no Team Assistant is assigned.
Recommend actions to strengthen program management practices and assist with funding/approval submissions (e.g. CPIA).
Provide strategic oversight by communicating relevant policy or strategy changes (e.g. DX updates) to program stakeholders.
Minimum Qualifications
Graduate degree required.
Relevant years of experience in delivery
Exposure to advanced technology data and AI within the chosen industry.
Strong analytical and operational execution skills.
Proven ability to manage multiple priorities and deliver high-quality results.
Experience coordinating with cross-functional stakeholders.
Familiarity in at least one segment of the chosen industry with a track record in implementing technology-enabled solutions.
Excellent communication and relationship-building skills both written and verbal.
Exceptional presentation skills demonstrated in both in-person and virtual environments.

Scheduling (Level 1) - Ensures timely project delivery through effective activity sequencing effort estimation scheduling and schedule control.
Quality Management (Level 1) - Plans and executes quality activities to ensure consistent outcomes aligned with policies controls and standards.
