Position:
Loan Operations Representative is a diverse position in the loan servicing support unit. Incumbents will perform various office and clerical tasks associated with active loans in First Federals portfolio including but not limited to:
- Assist customers in-person by phone and through email with loan account questions inquiries and requests.
- Perform a variety of loan operational tasks such as processing payments loan advances as directed prepare bank checks as needed scanning file documents mail billing statements and notices etc.
- Assist Loan Processors in initial processing paperwork and set-up of new mortgage loan requests.
- Review loan account maintenance reports on a daily basis and perform maintenance or research as needed to resolve variances or exceptions.
- Review prior day monetary transactions for accuracy completing corrections if necessary.
- Review transaction report for partial payments and apply payments as necessary.
- Process returned loan payment items and process non-post transactions.
- Process paid loan files for all loan types.
- Manage all aspects of hazard and flood insurance monitoring and tracking including purchasing and/or cancelling force placed insurance as may be needed.
- Ensure that customer escrow insurance and tax payments are made timely.
- Oversee and handle property tax service orders along with all related responsibilities.
- Monitor review and take needed action of E-OSCAR Automated Consumer Dispute Verification (ACDV) system on a semi-weekly basis responding to consumer disputes within 7 business days.
- Review Consumer Credit Report monthly for changes in credit history status maintaining change history and make system changes as necessary.
- Manage Private Mortgage Insurance (PMI) policy purchases and ongoing maintenance of PMI policies.
- Develop skills in preparing loan documentation and boarding loans for loans of up to moderate complexity with general supervision for commercial purpose residential mortgage and/or other consumer purpose loans.
- Develop skills in conducting quality control reviews and audits of loan documentation and loan files.
- Performs document imaging and indexing using core system capture software.
- Complete all assigned certifications as scheduled.
- Maintains written instructions for all assigned tasks and ensures that other personnel are cross trained on key duties.
- Assist in the preparation of customer correspondence as requested.
- Keeps manager informed of activities concerns etc. soliciting assistance and direction as needed.
- Negotiates and resolves conflicts regarding work assignments; communicates problems suggestions etc. to manager when needed.
Minimum Job Requirements:
- Associates degree in Business Administration preferred or High School Diploma and a minimum of one year of equivalent training in office administrative tasks/loan support required. Prior loan support experience desired.
- Strong computer skills including ability to type by touch and numbers by touch in an accurate manner. Ability to operate various office equipment including but not limited to printers fax machine 10-key adding machine multi-line telephone copy/scanner machine etc.
- Proficient in Microsoft Office applications as well as demonstrated ability to quickly learn to utilize core systems. Demonstrates aptitude and ability to quickly learn new software & equipment.
- Demonstrated effective time management and organizational skills.
- Effective interpersonal skills to relate to a variety of managers executives directors customers employees and vendors; public relations skills; tact diplomacy and patience.
- Strong attention to detail accuracy and follow-through.
- Effective verbal and written communication skills
- Notary certification preferred.
- Demonstrated ability to manage & maintain confidentiality of work related information and materials.
- Ability to use good judgment and make appropriate decisions within scope of authority.
- Ability to work on several projects simultaneously and with a variety of employees managers executives etc. Ability to work effectively under tight time constraints with frequent interruptions.
- Ability to meet bonding requirements for employment purposes.
- Licensing Requirements: Employees that: (1) take residential mortgage loan applications and (2) offer or negotiate terms of a residential mortgage loan will be required to: 1) register with the Nationwide Mortgage Licensing System & Registry and complete a MU4R filing notice 2) to provide fingerprints and 3) to authorize a criminal background screen through the Registry in compliance with the Secure and Fair Enforcement for Mortgage Licensing Act of 2008 (S.A.F.E. Act). First Federal will facilitate the individual registration and pay all applicable registration fees.
