About the Job:
The Executive Assistant provides high-level administrative financial and operational support to the Dean of the College of Business. This role serves as a primary point of contact for internal and external stakeholders and is responsible for managing complex departmental workflows including financial oversight accreditation support and faculty coordination.
Job responsibilities include but are not limited to:
- Financial Management: Managing all purchase orders invoices and payments through BruinBuy and generating monthly VENA budget reports for all programs.
- Contract Administration: Drafting and maintaining records for adjunct contracts faculty overloads stipend agreements and Independent Contractors.
- Academic Support: Partnering with the Dean to build annual course schedules and coordinating with the Registrar for mid-year adjustments and room changes.
- Personnel & Onboarding: Managing the logistics of faculty recruitment including posting positions scheduling interviews and coordinating campus visits.
- Administrative Operations: Organizing monthly meetings preparing agendas recording minutes and managing the COB Central Calendar.
- Accreditation & Facilities: Maintaining accreditation documentation and data and serving as the Hoover Building Monitor to coordinate safety and maintenance.
- Communication: Acting as a central point of contact for departmental needs while maintaining strict confidentiality regarding sensitive matters.
- Communicate effectively and courteously in a spirit of teamwork respect and customer service.

A typical day balances high-priority executive coordination with essential departmental operations. You begin by managing the Deans complex calendar and prioritizing incoming communications. Throughout the day you navigate institutional systems-processing financial transactions in Vena and Concur updating course schedules in 25Live and managing faculty contracts. You regularly collaborate with faculty to resolve enrollment issues and textbook orders while ensuring long-term initiatives such as accreditation reporting and search committee logistics remain on track.
Were looking for candidates who have:
- A Bachelors degree.
- 3-5 years of relevant administrative or executive support experience.
- A mastery of office software email applications Google Mail and Google Drive.
- Ability to leverage AI Tools (such as ChatGPT Claude or similar) to enhance work efficiency and departmental workflows.
- Ability to utilize Tableau and Vena for data visualization and financial planning.
