Job Summary
As part of Canadian Institutes of Health Research (CIHR) Institute of Nutrition Metabolism and Diabetes (INMD) Team this position is responsible for supporting project planning team meetings workshops events and activities for INMD and preparing meeting materials. This position is also responsible for coordinating the INMD monthly newsletter and administrative aspects of the Institute Community Support Program under the direction of INMD Associate Director and Scientific Director. This position is expected to work at the INMD office. This position will work on a day-to-day basis with INMD team members and will regularly collaborate and interact with CIHR staff across Canada and with INMD-affiliated researchers.
Organizational Status
This position will report to the Associate Director (AD) and works collaboratively as a key member of the INMD team that all report up to the Scientific Director (SD).
Work Performed
Project Analysis and Support
Collaborates with the INMD Team and with approval from the Scientific Director supports planning and coordination of projects. This may include tasks such as requesting data from the CIHR Funding Analytics Team contributing to data analysis developing related project materials scheduling project planning meetings and requesting information from CIHR staff.
Supports the INMD Team in planning and coordinating meetings and events (including workshops meetings poster sessions). This may include planning tasks such as identifying meeting participants and speakers developing meeting materials scheduling planning meetings and requesting information from CIHR staff and developing meeting evaluations under direction of Associate Director and Scientific Director.
Supports developing positive relationships with relevant INMD interest holders that are involved in the planning and execution of projects meetings workshops and events.
Provides support for Institute Advisory Board (IAB) meetings contributing to the development of meeting materials and agendas; ensuring meeting materials are sent out on time; taking meeting minutes and supporting all related activity planning.
Collaborates with the INMD Team and with approval from the Scientific Director participating in the development and execution of INMD projects and activities and may support collaborations and activities with other CIHR Institutes.
Contributes to literature reviews and environmental scans to develop summary reports in support of INMD initiatives coordinating organizing weekly operational meetings for the INMD
Conducts relevance review and project validation exercises of grant proposals submitted by Canadian researchers to ensure eligibility of research projects to the INMD mandate as well as to CIHR as needed and guided by the Associate Director (approximately 4 times per year)
Contributes to planning and/or organizing of relevant community events
Communications Project Support
Liaises with CIHR Communications staff in regard to special projects and promotional activities such as Theme Months (e.g. Diabetes Awareness Month) to promote INMD-related researchers press releases and announcements.
Coordinates monthly INMD newsletters with support and supervision of INMD staff. Liaises with CIHR Communications staff in regard to translation staging and distribution of monthly newsletter.
Liaises with CIHR staff to request translation services and updating INMD web site regularly.
Administrative Tasks
Assists in coordinating the Scientific Directors calendar and travel schedule including booking hotels and meetings
Supports expense reimbursements for Scientific Director and INMD Team members
Takes meeting minutes
Consequence of Error/Judgement
Inappropriate decisions could damage the reputation of the Institute CIHR central and the University of British Columbia as host institution of INMD adversely affecting the ability of the Institute to fulfill its mandate.
Supervision Received
This position will report to the AD with direction from the Scientific Director. Work is reviewed in terms of achievement of timelines and goals.

Minimum Qualifications
- High school graduation some additional training in a related field and a minimum two years of related experience or an equivalent combination of education and experience.

Preferred Qualifications
Bachelors Degree in Sciences orApplied Sciences.
Project management analytic and excellent organizational written and oral communication and computer skills required.
Ability to effectively use Outlook MS Word MS Excel MS PowerPoint MS Teams and Zoom meetings at an advanced level.
Ability to prioritize and work effectively under pressure to meet deadlines while managing multiple tasks and priorities.
