Position Summary:
The Registrars Office at Franklin Pierce University is seeking an experienced higher education professional to serve as Assistant Registrar of Degree Auditing and School Certifying Officer (SCO). This is a dual-focus role reporting directly to the Registrar. On the degree audit side youll manage the full graduation lifecycle reviewing student progress processing applications to graduate coordinating with Deans and Academic Advisors on degree completion and overseeing diploma printing and distribution. Youll also serve as the Universitys School Certifying Official certifying enrollment of veterans and eligible students to the VA maintaining compliance with federal and state approval requirements and acting as the primary point of contact during State Approving Agency visits. Beyond these two core areas youll help train faculty and staff interpret and communicate academic policy and contribute to the broader operations of the Registrars Office. Expected work schedule for this role is Monday through Friday 8AM 4:30 PM on the Rindge New Hampshire campus. Essential Duties & Responsibilities:
Degree Audit
- Process applications to graduate review student progress toward graduation and notify students/advisors of degree requirements and any deficiencies within their requirements.
- Communicate academic policy as it pertains to degree and commencement participation requirements.
- Perform a final evaluation of all student degrees to ensure that degree requirements are met and coordinate diploma printing and distribution process.
- Work with the Registrar to maintain all aspects of degree audit in the university database (Jenzabar One).
- Collaborate with Deans Department Chairs and Academic Advisors on the degree completion review process.
- Enter all necessary substitutions waivers and major/minor changes.
- Directs communication (due dates notifications of issues notification of approvals) pertaining to degree conferral.
- Attend all commencement meetings and manages commencement related tasks for the Registrars office.
- Fulfils education verification requests and submission to external agencies.
School Certifying Official- Informs the State Approving Agency of any changes requiring approval (e.g. accreditation location ownership catalogs and program modification).
- Sends certified copies of the schools publications and related forms to the State Approving Agency.
- Meets with State Approving Agency to provide necessary files and information during site and supervisory visits.
- Certifies enrollment of veterans and eligible students to Veterans Affairs.
General Registrar Office- Train faculty/staff on using applicable tools in the university database (Jenzabar One).
- Participate in professional development and staff training.
- Draft proof and edit office forms letters and official publications as needed.
- Interpret and communicate academic policies relevant to the Registrars Office.
- The ability to interpret explain apply and enforce policies and procedures established by the University.
- Perform other duties and special projects as assigned.
Required Qualifications:- Bachelors degree from an accredited institution
- Three (3) years of experience in office or administrative setting.
- Proficient in Microsoft Office 365 (Word Excel Outlook etc.).
- Strong written and verbal communication skills.
- Organizational skills with the ability to manage multiple tasks and deadlines independently.
- Demonstrated ability to provide high-quality customer service to diverse stakeholders.
- High level of professionalism integrity and commitment to data accuracy.
- Comfortable working in a fast-paced environment with evolving processes and policies.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Preferred Qualifications- Three (3) years of professional experience in registrars office or higher education administration.
- Knowledge of FERPA and other federal and state regulations.
- Experience with student record systems such as Jenzabar One (J1) and academic record-keeping standards.
- Familiarity with Veterans Affairs education benefit policies and certification procedures.
Environmental Factors and Physical Requirements:
The individual must be physically able to lift various materials up to 25 pounds on an occasional basis. While performing required job tasks physically able to sit and stand throughout the day. Possesses dexterity abilities required to perform typing operate a computer and other office equipment. Flexibility to work outside the regular scheduled business hours as needed.
