Job Title: Administrative Assistant / International Coordinator
Location: Bolingbrook IL 60440 (Hybrid Onsite at least 6 times per month)
Duration: 6 Months
Pay Rate: $24.00/hour
Position Overview
We are seeking a highly organized and detail-oriented Administrative Assistant / International Coordinator to support global operations through strong project coordination executive support and cross-functional collaboration.
This role requires experience managing complex schedules supporting multiple leaders and coordinating international projects across various time zones. The ideal candidate is proactive adaptable and thrives in a fast-paced team-oriented environment.
Responsibilities
Administrative Support
Manage executive and team calendars
Coordinate meetings and prepare agendas
Organize domestic and international travel logistics
Ensure timely follow-up on key actions and deliverables
Maintain professionalism and accuracy in all communications
Project Planning & Coordination
Support cross-functional and international projects
Maintain project plans timelines and deliverables using tools such as SharePoint or Smartsheet
Track milestones dependencies and escalate risks or delays
Partner with global stakeholders to ensure alignment and timely execution
Documentation & Reporting
Maintain centralized documentation repositories with version control
Prepare edit and format professional documents reports and meeting summaries
Track open action items risks and unresolved issues
Communication & Collaboration
Serve as liaison between international and cross-functional teams
Promote clear communication and collaboration
Foster a positive and solutions-oriented team environment
Qualifications & Requirements
Minimum 2 years of experience in project management or project coordination
Minimum 2 years supporting multiple leaders with scheduling and travel coordination
Experience with SharePoint and/or Smartsheet
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook)
Strong written and verbal communication skills
Excellent document formatting and editing skills
Highly organized with strong attention to detail
Ability to work independently and collaboratively across global teams
Professional approachable demeanor
Bilingual proficiency (written and verbal) is a plus
Positive attitude and commitment to a collaborative work culture
