This position is opened by the Flow Controls Business Unit which is part of the Final Control Group.
The Buyout Administrator is based in Chennai India and caters to all customers in the Middle East and Africa.
In This Role Your Responsibilities Will Be:
Order Monitoring & Expediting:
Monitor customer orders from order entry through shipping and final delivery.
Identify follow up and resolve delays holds and bottlenecks by coordinating with relevant teams.
Closely track shutdown LD PRECOM and other urgent or critical orders.
Monitor factory timelines and coordinate with Buyout Admin for orders falling behind schedule.
Generate and maintain monthly order status reports for buyout factories.
Use JDI to access review and update order and shipment schedule details.
Factory & Global Coordination:
Interface and communication with global factories across world areas (excluding MEA).
Monitor and follow up on all buyout orders with factory teams.
Ensure regular updates on delivery and shipment status are shared with Buyout Order Administrator and immediately communicate any delays to the Customer Service team to enable proactive customer engagement.
Logistics & Shipping Operations:
Execute logistics activities with a strong understanding of Incoterms and the end-to-end shipment lifecycle.
Arrange shipping releases and ensure accurate shipping documentation from origin/DXB offices.
Ensure shipping documents comply with destination customs rules to avoid demurrage/storage penalties.
Book shipments in SCO and prepare Certificates of Origin (COO) and attested documents per customer requirements.
Provide pre-alerts to customers and obtain Proof of Delivery (POD) confirmation upon delivery.
Support the Order Admin Team by following up with customers/local partners for POR completion.
Coordinate export license follow-ups with order admin to avoid last-minute shipping delays.
Finance GRN & Invoicing Support:
Follow up with factories for timely submission of supplier invoices and escalate delays immediately.
Support the upload of supplier invoices into Esker
Assist the O Admin Team with buyout order invoice.
Ensure invoicing is completed within one day of POD receipt
Dispatch invoices within 5 working days and upload them to customer portals or send via email/courier with tracking.
Support the Order Admin team in clearing logged or disputed invoices.
Trade Compliance EHS & Regulatory Requirements
Ensure compliance with Emerson Trade Compliance procedures (import/export).
Coordinate closely with Trade Compliance team for adherence to regulations and trade laws.
Coordinate with EHS team for safety and proper handling requirements.
Support Letter of Credit and CAD shipments as per finance/customer requirements.
Follow procedures for DG/hazardous/dangerous goods shipments.
Obtain export proof/exit certificate within 57 days to support VAT reconciliation
Internal Support
Provide backup support to colleagues when required.
Coordinate with Order Management Order Entry Sales Project Execution and Finance teams to ensure smooth order flow.

For This Role You Will Need:
Bachelors degree (BBA/Commerce/Supply chain/Logistics etc).
Administration & Organizational skills
Technologically inclined
0-3 years experience
Excellent command on Spoken & Written English
As an advantageQualifications that Set You Apart:
Experience in Inside Sales Order Entry (Technical)
Spoken & Written French and/or Arabic.
Execution and logistics experience with Control Valve products.
