Job Summary
The Faculty of Applied Science at UBC encompasses six engineering departments the School of Architecture and Landscape Architecture the School of Nursing the School of Community and Regional Planning four multidisciplinary programs five major research centres and the School of Engineering at UBC Okanagan. The Senior Manager Strategic Initiatives & Planning is responsible for leading the development planning and implementation of strategic initiatives and projects for the Faculty of Applied Science; working closely with senior staff and faculty in the operational planning and execution of special projects across the collaboration with the Executive Director Strategy and Planning this role will champion projects and initiatives to advance the Applied Science mission and vision. This role will provide strategic decision support to Faculty leadership and invest in building productive relationships at all levels necessary to influence and drive strategic opportunities within the Faculty and the University. The Senior Manager Strategic Initiatives & Planning will be responsible for regular reporting and communication of projects related to the APSC strategic and implementation plan.
In collaboration with the Director Capital Projects this role will be responsible for advising and making recommendations on projects related to space and facilities for the academic and administrative units within the Faculty and will oversee complex space management activities for the Deans Office. The Senior Manager Special Projects & Planning directs Faculty wide safety leadership accountability and planning.
Organizational Status
Reports directly to the Executive Director Strategy and Planning and works closely with the Director Capital Projects. This role will provide advice guidance and project management support to the academic and administrative units across the Faculty to ensure integration communication and execution of the Facultys strategic priorities. Works closely with the Dean Associate Deans Department Heads School Directors and Administrative managers as required. This position will also be responsible for liaising with staff in Human Resources Financial Services Building Operations Infrastructure Development Safety and Risk Services and Campus &Community Planning.
Work Performed
Project Management &Strategic Initiatives:
Works with Faculty Leadership to initiate and manage the development and implementation of short and long-term operational and strategic plans. Including designing and managing multiple concurrent initiatives and project of considerable size diversity complexity and risk all of which are vital to advancing the priorities of the Facultys strategic goals and objectives
Leads critical strategic priorities for the Faculty including but not limited to administrative financial and operational projects; develops plans and identifies strategic issues that require the intervention of leadership
Researches and recommends innovative solution development analyzing data and preparing business plans to explore new potential strategic areas/projects for the Faculty
Provides strategy and decision support including advising on project plans defining project requirements developing project scope budgets and schedules identifying staffing requirements forming project teams and leading cross-functional work and project management processes between portfolios
Monitor compliance with strategic and business plans in a regular and disciplined fashion to ensure progress is made toward key objectives in a timely manner and that the momentum needed to drive these initiatives is sustained.
Leads the evolution of projects from initial concept into structured actionable plans through needs assessment data analysis and stakeholder consultation. Establishes project parameters scope timelines and methodologies.
Manages project tracking reporting and post-project evaluations to support continuous improvement and strategic decision-making
Responsible for fostering relationships with key individuals and stakeholders to enhance alignment and integration of the Faculty activities and units of the University
Facilities large scale change management processes and activities with cross-functional team members and stakeholder to ensure initiative effectiveness
Identifies barriers to implementation or long-term success and works to resolve complex issues and suggest possible solutions working in collaboration with stakeholders
Develops and advises on communication strategies for key projects including developing charters plans scope statements risk management plans and status update collaborating with other units as required
Develops tools and resources to assist in the tracking of project outcomes project implementation and training
Advises on and serves on relevant staff and faculty committees
Capital Projects Management
Collaborates closely with the Director Capital Projects to plan and deliver medium to large-scale renovation and capital projects across the Applied Science space portfolio ensuring alignment with Faculty priorities academic requirements and campus planning standards.
Leads the end-to-end development of project implementation plans including scope definition scheduling risk identification and stakeholder engagement strategies
Liaises with partners both internal and external to develop project plans identify stakeholders review and make recommendations to resolve issues
Advises units on communication strategies to inform faculty staff and students of capital project timelines space impacts and operational changes
Advises on policies procedures and safety practices related to construction renovation and space use within the Faculty
Provides advice to Deans office Department Schools Centres and programs on capital and space project initiatives.
Leadership of Teams
Provides both direct and indirect leadership of critical strategic administrative financial and operational projects strategic initiatives or priority issues that require the coordination across multiple APSC units and support of multiple leaders
Responsible for establishing appropriate governance structures to support successful project outcomes creating terms of reference project scope and escalation pathways
Responsible for leading a team of professional staff and temporary staff/student employees. Responsible for recruitment onboarding performance management and termination of individual team members. Consults with APSC HR where appropriate.
Responsible for reporting on progress elevating issues and supporting resolution of issues to advance project and team objectives
Provides advice to Deans office Department Schools Centres and programs on key initiatives and projects.
Performs other duties as required.
Consequence of Error/Judgement
The incumbent represents the Dean and the Deans Office when completing projects and engaging with stakeholders both inside and outside of the University. The incumbent works in conjunction with other units and stakeholders and therefore is responsible for ensuring that projects are completed in a timely and efficient manner. Delays may result in loss of opportunity funding or stature of the Faculty and the University.
Must exercise judgement based upon a thorough knowledge of procedures guidelines and regulations. Actions and decisions are critical in ensuring the operational health of the unit. Errors in judgement may cause financial hardship or missed opportunities for the effective delivery of services to the Deans office.

Works with considerable latitude. Work is reviewed in terms of achievement of specific goals.

Manages APSC Safety & Facilities Officer.
May supervise additional temporary or student employees. Directs work of contractors and liaises with UBC Infrastructure Development Project Services team to communicate project needs.
Acts as an Advisor to Deans office Department School Centres Programs personnel.
Provides oversight to the Administration team when Executive Director Strategy and Planning is absent. Directs the work of the Facilities & Office Administrator in regard to office and facilities administration.
