Whats the role

Youll provide trusted daytoday support to two Managing Directors within Global Transaction Services helping them stay focused on what matters most. This role is about being one step ahead managing complex diaries coordinating meetings and travel and keeping communication flowing smoothly across busy leadership teams.

Youll work closely with senior leaders and their broader teams handling everything from preparing meeting papers and drafting correspondence to coordinating leadership forums offsites and events. Youll also look after key business support activities including expenses reporting people data and onboarding and offboarding support.

This is a permanent full-time role based in Sydney offering exposure to senior leadership and the opportunity to build strong relationships across Westpac Institutional Bank.

Youll also be part of a collaborative network of EAs and Team Coordinators sharing knowledge supporting each other and driving excellence together.

What do I need

To thrive in this role youll bring a strong sense of initiative attention to detail and the ability to manage multiple priorities with professionalism and confidence.

Heres what will help you succeed:

  • Proven experience in an administrative role maintaining strict confidentiality ideally within a large corporate or financial services environment.
  • Strong organisational and time management skills with the ability to manage competing priorities and deadlines.
  • Excellent written and verbal communication skills with a high level of professionalism and discretion.
  • Proficiency in Microsoft Office Suite (Word PowerPoint Excel) and confidence learning and navigating internal systems.
  • A proactive solutions-focused mindset and the ability to build strong working relationships across all levels of the organisation.
