The Clerk of the Circuit Court of Cook County provides essential court support services across all Municipal Districts of Cook County. This posting is for the following locations:

  • Richard Daley Center- 50 W. Washington Street Chicago IL 60602

  • District 5: Bridgeview- 12200 S. 76th Avenue Bridgeview IL 60455

  • First Appearance Court- 2650 S. California Avenue Chicago IL 60608
  • Child Protection & Juvenile Justice Center- 1100 S. Hamilton Avenue Chicago IL 60612

OFFICE CLERK

Job Summary

Reporting directly to the supervisor for the assigned Division/Department/District in the office of the Clerk of the Circuit Court of Cook County (Clerks Office) the Office Clerk performs general administrative organizational and office related tasks as directed. The Office Clerk processes audits and maintains all court documents and electronic records in accordance with Departmental orders applicable standards and Illinois Supreme Court Rules in a timely and accurate manner. The Office Clerk retrieves and files all Division/Department/District records and files in a timely and accurate manner. The Office Clerk performs any and all tasks as defined in the Policies Methods and Procedures (PMPs) and Administrative Procedures (APs) implemented within the Division/Department/District. The Office Clerk enters case information into the electronic docket for the Department/Division/District. The Office Clerk handles co-workers and clients with respect and courtesy when performing all job duties.

Essential Duties

Assists internal and external customers with inquiries regarding case information court proceedings and all other court-related matters in a professional manner.
Reviews and enters case information and case activity codes for court hearings into the Clerks Office electronic docket.
Accepts and processes all filings such as expungement appeal filings preparation of new cases.
Prepares and enters all pertinent court related data maintaining all records in an organized and accurate fashion.
Collates separates court sheets sorts and files court documents while completing any applicable forms and documents in the preparation of files for court calls including the possible delivery of said files to courtrooms.
Accesses imaged and original court documents when necessary or directed.
Interprets and identifies court-related documents judicial orders and codes.
Processes obsolete records for destruction in accordance with retention policy and established procedures.
Interacts and responds to public attorney judiciary or government agency in a professional manner communicating and transmitting information appropriately.
Maintains locates retrieves prepares audits verifies and stores court files for court calls.
Performs functions related to Electronic Filing (eFiling) Imaging and Document Management System (IDMS) electronic Record on Appeal Odyssey Insight the Mainframe system e-mails etc. when and where applicable.
Performs functions related to installing hardware software and other operating systems where applicable.
Performs other miscellaneous duties as assigned.

Minimum Qualifications

High school diploma or GED. (Must upload proof of education in the Attachments section of the application by the posting deadline.)
Six (6) months of full-time work experience keyboarding cashiering or filing.
Six (6) months of full-time customer service experience.

Preferred Qualifications

Associate degree or higher from an accredited college or university. (Must upload proof of education in the Attachments section of the application by the posting deadline.)
Current employee of the Clerk of the Circuit Court.
One (1) year of full-time work experience keyboarding cashiering or filing.
One (1) year of full-time customer service experience.

Knowledge Skills Abilities and Other Characteristics

Ability to communicate effectively both orally and in writing.
Excellent customer service skills.
Ability to follow directions multi-task and problem solve.
Must be computer literate with skill and efficiency in entering and retrieving data and preparing informative reports.
Ability to operate general office equipment including business telephones computers copiers and printers.
Ability to interact in a professional manner with the general public attorneys and other court personnel.
Excellent organizational skills and the ability to sort case files.
Ability to comprehend and process information in the electronic docket.
Ability to comprehend the use of forms workflow pleadings and filings within the Division/Department/District.
Knowledge of the Clerks Office operations functions activities procedures policies practices and guidelines or the ability to quickly gain such knowledge.

Physical Requirements
Ability to lift up to 30 lbs.
Ability to climb ladders and stairs on a regular basis.
Ability to sit stand walk for extended periods of time.
Ability to repetitively use hands to operate standard office equipment and handle documents.

Additional Physical Requirements for Office Clerks assigned to the Warehouse:

Ability to push pull move and lift up to 40 lbs. on a regular basis.
Ability to push pull move and lift more than 40 lbs. using assistive devices on a regular basis.
Ability to climb ladders up to 15 feet with boxes on a regular basis.
Ability to sit squat stand kneel bend and crawl on a regular basis.
Ability to sit stand walk or move for extended periods of time.
