Job Summary

JOB DESCRIPTION

We are seeking a Logistics Officer to provide comprehensive administrative logistical and organizational support to the Clinical Research Unit (UPIC) ensuring the efficient day-to-day operations of the unit.

The selected candidate will be responsible for coordinating appointments and space allocation managing the availability of materials and resources supporting patient/participant care and experience and contributing to compliance with Good Clinical Practice (GCP) guidelines and all applicable regulatory requirements. The role requires close collaboration with clinical and research teams to ensure high-quality standards and operational excellence in all unit activities.

MAIN RESPONSIBILITIES
Administrative and Documentation Management
  • Manage administrative documentation associated with clinical trials.
  • Support the maintenance of files in accordance with Good Clinical Practice (GCP) requirements and applicable regulations.
  • Maintain and update the units databases.
  • Provide support during internal and external audits regarding documentation and logistics.
  • Monitor and support the units quality management system.
  • Coordinate patient/participant schedules and appointments for clinical trials ensuring availability of resources and facilities.
  • Manage and coordinate the scheduling and rescheduling of unit visits.
  • Handle phone calls calendars and emails related to UPIC activities.
  • Perform reception admission and patient care tasks.
  • Maintain and update patient information using the SAP healthcare system.
  • Provide administrative support during scheduled visits.
Logistics and Material Management
  • Replenish nursing supplies required in consultation rooms.
  • Ensure availability and stock control of unit materials.
  • Manage and optimize the use of UPIC facilities.
  • Provide logistical support for meetings monitoring visits and audits.
Unit Organization
  • Maintain order and organization across the different UPIC areas.
  • Ensure proper use of common and workspaces.
QUALIFICATIONS AND EXPERIENCIE
  • Higher Level Technical Certificate in Administration Healthcare Management Nursing Assistant studies or similar.
  • Good Clinical Practice (GCP) Certificate.
  • Training in clinical research (valued).
  • Proficiency in office software tools.
  • Experience with or knowledge of SAP.
  • Database management skills.
  • Personal skills:
  1. Organization and planning skills.
  2. Coordination skills and ability to work in a team.
  3. Attention to detail.
  4. Clear communication and appropriate patient interaction.
  5. Responsibility and confidentiality.
  6. Ability to manage multiple tasks across different teams/services.
WHAT WE OFFER
  • Indefinite contract
  • Full -time (1628h/year).
  • Start date: 16/03/2026.
  • Gross annual remuneration inherent to the square objected to this call will be fixed based on the experience provided and the skills of the candidate distributed in 12 payments.
