Job Information and Responsibilities

Under the direction of the Assistant Registrar Student Accounts the Service Centre Coordinator will:

  • Responsible for reconciling multiple cashier batches and third-party batch uploads.
  • Accountable for ensuring cashier activity is accurate and complete with authorized backup.
  • Analyses student accounts for adjustments and prepares supporting documents.
  • Reconciles wire transfer payments through RBC Express to be posted by Enrolment Services and Matches payments to correct students and is responsible for the safe keeping and monitoring of unassigned international payments received prior to a students ID being supporting documents for payments to be posted by each department which creates the audit trail for auditors.
  • Identifies student accounts outstanding for a particular term in a timely manner using Crystal Reports. Arranges to have holds and interest placed on each account that will identify which term the debt is from.
  • Analyses and determines students eligibility for an international refund. Prepares wire transfers of return funds through appropriate channels. Follows up with students to obtain banking information and prepares requests for Procure to Pay. Ensures account is in good standing before request is processed.
  • Responsible for first review of delinquent accounts and makes recommendations for placing with a collection agency
  • Allocates incoming payments from collection agencies to student accounts ensuring proper codes are used for each student and holds adjusted correctly.
  • Prepares bi-weekly refund report and cheque pickup log.
  • Responsible for the first level of customer complaints.
  • Assists in training new full time and temporary staff.
  • Assigns payments and supports and reviews the financial work of five full time Enrolment Services Representatives.
  • Back up and perform daily front counter activities in absence of Enrolment Services Representative due to lunch breaks vacation or during peak period.

Experience and Education Requirements

To be the successful Service Centre Coordinator you will have:

  • Combination of University and/or Community College courses equivalent to two year post High School education.
  • Minimum three years related experience.
  • Understand of current financial practices and procedures.
  • Experience leading and/or coordinating work of others.
  • Ability to handle and maintain confidential material.
  • Proficiency in Microsoft Suite.
  • Strong organizational skills.
  • Strong communications and listening skills.
  • Demonstrated ability to work under pressure.
  • Work experience in a university environment considered an asset.
  • Website maintenance experience an asset.
