Description

The Chief of Staff to the Chief Operating Officer (COO) will support theCOO in executing the operational priorities for Heartshare. The roleis responsible fordrivingoperation projects and cross-functional initiatives improving operationaleffectivenessandensuringalignment with strategic goals and priorities.

Primary Responsibilities and Essential Functions of Position

Strategic Planning and Execution

  • Partner with the COO and senior leadership to advance organizational strategic priorities and initiatives within operations.
  • Assistinidentifyingcritical operational issues risks and potential roadblocks to achieve strategic goals.
  • Workcollaboratively with COO direct reports and other leaders to track andmonitorthe progress on department specific priorities ensuring accountability andtimelyexecution.
  • Lead and manage complex cross-departmental projects on behalf of the COO including coordinatingwithinternalstakeholders definingscope timelines deliverables and success metrics.
  • Support business development effortsfor new initiatives and program expansions tracking milestonesidentifyingrisks and ensuringtimelyresolution of barriers.

Operational and Executive Support

  • Assess current operating environments andidentifyopportunities to improvesystemsand and emerging technologies thatwill streamline processes andoptimizeproductivity across the division.
  • Build partnerships with executive leaders to support operational alignment and implementation of new strategies.
  • Assist the COO in ensuring department levelobjectives goals and KPIs are met.
  • Provide support with preparing high level insightanalysisand recommendations on organizational performance to executive leadership.
  • Schedule meetings and prepare materials and briefings for executive level audiences including the Board of Directors and executive leadership.
  • Attend meetings with the COOto record minutesand communicate action items.
  • Respond to inquiries and attend meetings as needed on behalf of the COO to ensure continuity and clarity in decision making.
  • Maintain confidentiality provide clear and consistentcommunicationand perform in a manner that reflects and advances the mission and values of Heartshare.
  • Undertake special projects initiatives andadditionalduties as assigned by the COO and/or President & CEO.



Qualifications
  • Bachelors degree.
  • Five (5) years of experienceinprojectmanagement or similar role supporting executive leadership.
  • Experience in planning and leading strategic initiatives.
  • Excellent written and verbal communication skills.
  • Advanced Microsoft Office Suite (Outlook Excel PowerPoint) skills.
  • Experience using project management tools.
  • Must bedetail-orientedand highly organized.
