The Executive Administrator reports to the Dean of Emerson Los Angeles (ELA) and provides high-level administrative and organizational support to the Dean in a dynamic outward-facing academic environment. As the primary contact for internal and external constituencies regarding the Deans office this role requires exceptional judgement discretion professionalism attention to detail excellent interpersonal and writing skills and the ability to manage multiple priorities in a fast-paced environment.

The Executive Administrator serves as a key partner in supporting day-to-day operations coordinating complex workflows and ensuring effective follow-through on initiatives and commitments. The position involves frequent interaction with leadership in both Los Angeles and Boston campuses faculty staff alumni and external partners and requires a high degree of professionalism and confidentiality.

ESSENTIAL JOB DUTIES

  • Provide primary administrative support to the Dean of ELA.

  • Manage the Deans calendar meetings and appointments exercising sound judgment in prioritization and scheduling.

  • Book space as needed and work closely with the other Executive Administrators across the college.

  • Support budget-related administrative processes such as requisitions and invoice tracking in coordination with campus finance and accounting staff. Interface with Finance Procurement and Accounts Payable offices to ensure prompt and accurate payments.

  • Support initiatives and projects led by the Dean by tracking timelines action items deadlines and deliverables.

  • Complete expense reports and other tasks in Workday on behalf of the Dean.

  • Draft edit and prepare correspondence reports briefing materials slide decks and other written materials.

  • Make travel arrangements and itineraries using Concur.

  • Liaise regularly with the Dean to inform them of upcoming commitments responsibilities and divisional needs.

  • Prepare meeting agendas take notes track action items and assist with follow-up communication.

  • Anticipate upcoming deadlines preparation needs and scheduling requirements and proactively flag them for the Dean.

  • Identify opportunities and make recommendations for process improvement and efficiencies within the Deans Office.

  • Serve as a professional point of contact for internal and external constituencies including alumni advisory board members donors industry partners and high-profile guests. Collaborate with and provide coverage for and assistance to colleagues as required.

  • Perform other miscellaneous duties as assigned and participate in key institutional and campus activities relevant to the Deans office as appropriate.

  • Support (but not lead) logistical coordination for alumni gatherings advisory meetings donor visits and campus activities in collaboration with advancement staff events personnel and other campus partners.

  • Assist with preparation for high-level meetings and visits involving senior leadership trustees and external partners.

QUALIFICATIONS Qualifications are deemed required or preferred and represent what is needed to effectively perform job.

  • Bachelors Degree in Business Finance or related field or equivalent experience is required.

  • Minimum five years of experience providing direct support to senior-level administrators in a complex organization required.

  • Experience using Google Workspace Concur and Workday for finance and HR preferred.

  • Experience in higher education the creative industries arts organizations or mission-driven nonprofit environments preferred.

KNOWLEDGE SKILLS AND ABILITIES May be representative but not all-inclusive of those knowledge skills and abilities commonly associated with the job.

  • Writing/editing skills project management skills professionalism and discretion required.

  • Exceptional accuracy and attention to detail required.

  • General knowledge of budgeting and accounting procedures.

  • Proficiency in using computer software and learning new software easily.

  • Strong organizational skills and the ability to follow through on tasks and requests.

  • Ability to maintain multiple projects simultaneously and to prioritize tasks.

  • Self-starter with excellent interpersonal judgment professionalism and discretion.

  • Excellent communication and problem-solving skills.

  • Strong written communication and editing skills.

  • Ability to maintain a high level of confidentiality.

  • Ability to work effectively with a wide range of constituencies including senior administrators faculty alumni and external partners.

  • All Student Affairs staff are expected to actively participate in and support major divisional and institutional programs and events including but not limited to student and staff trainings move-in move-out Commencement the Student Organization Fair and other key community-building initiatives. This may include evening and weekend commitments.

Compensation: $70304 - $81200 annually commensurate with experience
