Job Summary
The Executive Administrative Assistant provides executive support to the Chief Operating Officer Chief People Officer and Chief Financial Officer. This role is central to ensuring leaders can focus on strategic initiatives that advance PPLs mission of creating stable housing and economic mobility. The ideal candidate is proactive detailoriented valuesdriven and committed to equity and community impact.
Key Responsibilities
Administrative Support
- Management of the administrative support function within the PPL Campus to provide a central support source for administrative services presentation preparation organizational charts and meeting management
- Oversight of the acquisition distribution and storage of office equipment and supplies to assure that office supplies are well stocked and managed within budget
Operational Support
- Support of CPO to analyze determine and coordinate space allocation at multiple locations across organization
- Prepare annual Administration Operations budget for approval
- Oversight of the preparation analysis negotiation and review of contracts related to the purchase of leasing of office equipment materials and supplies
Executive Support
- Manage executive calendars and schedules
- Prepare for meetings and events: conduct research/analysis needed prepare/collect material create PowerPoint presentations agendas
- Provide internal/external relationship management support to enable executive to cultivate facilitate and manage key relationships and projects with staff Board of Directors funders partners and key constituents
Board Support
- Provide high-level support to the PPL Board Committees: coordinate prepare and distribute meeting materials take meeting minutes
- Serve as a liaison between staff and Board Committee members
Qualifications
- Demonstrated leadership and vision to manage projects and initiatives in coordination with a broad group of personnel who are not direct reports
- Exceptional planning and project management skills to assure that assigned initiatives are effectively managed
- Strong analytical skills and operational experience
- Strong problem-solving skills
Education and/or Experience
- High school diploma or GED.
- 3-5 years of office management and/or operational/executive support experience
- Prior vendor management experience
- Proficient in Micro Soft Office tools including Word Excel Power Point and Outlook
Salary/Hours:Full Time/Exempt:$55000-$70000/annually DOQ
