Scope:

This position supports inventory accuracy logistics coordination and warehouse process execution by applying analytical skills using operational data and resolving issues that affect the performance of the warehouse and crossfunctional partners.

Job Summary:

The Warehouse Operations Specialist is responsible for planning coordinating and overseeing all warehouse material handling procurement support and logistics functions. This role ensures compliance with FDA ISO 13485 and GMP requirements while maintaining accurate inventory timely material flow and efficient shipping and receiving operations. The position also plays a key role in continuous improvement cost reduction strategies and cross-functional collaboration to support operational excellence.

The Warehouse Operations Specialist is responsible for coordinating and optimizing material flow inventory control processes logistics execution and warehouse systems within established quality and regulatory frameworks. This role applies practical professionallevel knowledge of supply chain and warehousing operations to conduct analysis investigate discrepancies interpret data and support improvements that impact team performance and operational accuracy. The Warehouse Operations Specialist collaborates crossfunctionally with Supply Chain Planning Procurement Quality and Manufacturing to ensure efficient compliant and reliable inventory and logistics operations.



Responsibilities

Warehouse Management:

  • Maintain compliant storage and handling of materials per FDA ISO 13485 and GMP guidelines.
  • Operate forklifts to load/unload trailers safely.
  • Deliver materials to production with proper documentation.
  • Maintain a clean safe organized warehouse using 5S.
  • Monitor analyze and reconcile inventory variances using D365 ERP data and warehouse records; conduct investigation into discrepancies and identify contributing factors.
  • Perform cycle count analysis and prepare summary data for team-level decision-making.
  • Evaluate inventory accuracy trends and recommend adjustments to processes or controls to improve reliability and reduce recurring issues.
  • Validate data integrity within ERP/MRP systems and collaborate with Planning to correct or enhance master data inputs.
  • Interpret and apply SOPs quality procedures and regulatory guidelines in daily decision-making; recommend procedural updates when inefficiencies or gaps are identified.

Procurement & Material Planning:

  • Initiate purchase requisitions for materials and supplies.
  • Work with vendors on delivery dates and shortages.

  • Collaborate with Planning and Supply Chain on forecasts.

Logistics & Transportation Management:

  • Ensure accurate shipping paperwork and documentation with detailed explanations.
  • Coordinate inbound and outbound logistics activities including freight scheduling carrier communication and shipment documentation.
  • Track shipments investigate delays or discrepancies and communicate findings to crossfunctional partners.
  • Analyze transportation performance data to identify trends impacting cost service or efficiency at the team level.

Continuous Improvement & Cost Reduction:

  • Support detailed analysis and investigations relevant to improvements in cost-reduction and efficiency initiatives.
  • Identify operational issues through data review and trend analysis; propose solutions or adjustments to enhance accuracy efficiency or compliance.
  • Support implementation of Lean/Six Sigma tools wastereduction efforts and system improvements.
  • Assist in updating SOPs workflows and documentation based on insights gained from investigations and cross-functional feedback.

Cross-Functional Collaboration & Leadership:

  • Assist with change management for new processes & New Product Introductions by being involved in making minor adjustments to known solutions to solve problems related to warehouse operations.
  • Partner with Planning Procurement and Manufacturing to align material availability with production needs.
  • Provide detailed explanations of inventory or logistics impacts to internal stakeholders and external as needed ensuring mutual understanding of requirements and constraints.
  • Participate in cross-functional problem-solving meetings contributing operational insights that influence team-level decisions.

Safety Compliance & Training

  • Promote a zero-injury safety culture; enforce warehouse activities to adhere to OSHA policies.
  • Conduct risk assessments for identified hazards or process deviations and provide recommendations to mitigate recurrence. Participate in training activities and support knowledge transfer across the site employees related to warehouse operations

Qualifications

Knowledge Skills and Abilities:

  • Proficient understanding of warehouse operations inventory management practices and material flow processes.
  • Knowledge of FDA ISO 13485 GMP.
  • Strong leadership and decision-making skills.
  • Strong communication skills with the ability to provide clear detailed explanations to cross-functional partners.

Work Environment:

  • Occasionally lift to 35 Kilograms
  • Prolonged sitting in front of a computer.
  • Potential exposure to caustic chemicals.
  • Offsite warehouse support

Experience:

  • 3 years in warehouse/logistics/supply chain roles.
  • Experience with ERP/MRP systems (D365/SAP).

Education:

  • Associate degree or equivalent experience.
  • Forklift certification preferred.
