Description

The Second Judicial District is accepting applications for a Court Operations Associate position in the Civil Division of Ramsey County District Court 15 W. Kellogg Blvd. St. Paul MN 55102. This position is a critical role that requires advanced court clerical work including handling various types of civil and probate cases such as Major and Minor civil cases Guardianship/Conservatorships and Estates. The position will be primarily focused on providing customer service in person and over the phone along with other assigned responsibilities.

Under the supervision of a Civil Division Supervisor this position involves performing varied clerical tasks using electronic filing systems and paper processes providing in-courtroom support processing filings and responding to customer requests while maintaining high levels of customer service data entry and technical skills.

The ideal candidate will possess excellent communication organizational problem-solving and attention-to-detail skills as well as the ability to effectively manage competing demands simultaneously with a strong ability to provide sound judgment and work independently in a fast-paced environment.

Responsibilities:

The following are examples of major job duties expected of this position.

  • Provide high-level customer service over the phone at the front counter and through email and to attorneys judicial staff law enforcement and other agencies.
  • Review and process legal documents for completeness accuracy and compliance with court rules and statutes.
  • Initiate schedule notice and process filings and orders filed with the court including financial activities like rent escrows and deposits.
  • Enter permanent record information into MNCIS including case events activity dispositions and judgments.
  • Perform courtroom clerical duties such as preparing calendars files forms writs and arranging for interpreters.
  • Ensure accuracy and completeness of records while maintaining confidentiality in compliance with local state and federal statutes and court rules.
  • Contact referees/judges with documents or information requests and respond to questions and inquiries about court policies and procedures.
  • Perform varied court clerical work using SharePoint eFS MNCIS Microsoft Office and other related systems to process civil and probate cases.
  • Create training materials and train new staff on court processes and procedures.

  • Graduation from an approved high school or vocational school;
  • Must possess excellent computer skills;
  • Well organized;
  • Demonstrated close attention to detail while remaining on task with multiple interruptions;
  • Strong customer service skills and have at least six months customer service experience;
  • Demonstrated dependability; excellent attendance and punctuality in past positions;
  • Ability to apply sound quick and independent judgment;
  • Possess excellent verbal and written communication skills;
  • Reliable and accountable;
  • Ability to learn new technology and new processes;
  • Proficient with Microsoft Office programs;

Knowledge Abilities & Skills:

  • Knowledge of general office practices and procedures as well as division regulations policies and procedures.
  • Familiarity with court procedures laws and terminology including access to records and document security.
  • Ability to read and comprehend rules statutes and legal documents of varying complexity.
  • Adaptability and flexibility in a high-volume fast-paced work environment.
  • Effective communication skills both written and verbal to interact with diverse stakeholders.
  • Strong computer skills including proficiency in Microsoft Office MNCIS and electronic filing systems.
  • Ability to prioritize and manage competing demands meet deadlines and work under pressure.
  • Sound judgment organizational and decision-making skills to handle sensitive and confidential matters.
  • Ability to maintain a professional attitude and demeanor in challenging circumstances.
  • Willingness to learn and utilize new technology and procedures as needed.

Preferred Qualifications:

  • Experience with civil or probate statutes and rules;
  • Court Clerk experience;
  • Strong skills working within an electronic environment;
  • Proficiency in working in the Minnesota Judicial Branchs Electronic Filing System or eFS.

Working Conditions

This position provides a high volume of customer service in-person at the service counter and over the phone. Work involves contact with persons who may be confused upset angry abusive or threatening. Work may involve exposure to calls and case records that may be disturbing.

Physical Demands

Work is essentially sedentary with occasional walking standing bending and carrying items up to 25 pounds. Some assignments may require periods of extended sitting standing or computer use.

Rate of Pay

The expected hiring range for this position for external candidates is $22.50-$23.50/hour based on qualifications and experience.
