Role Overview
Reporting to the General Manager Ports this hands on role provides high-quality coordination and administrative support to a wide range of internal teams and external stakeholders across marine and port operations helping ensure safe efficient and compliant port operations.
The role is a 12 month contract to provide maternity leave coverage.
Key Responsibilities
Provide comprehensive administrative support across Marine Operations including records management document preparation purchasing and visitor coordination;
Support customers and stakeholders in line with policies procedures and service standards;
Coordinate regulatory audits site visits and compliance activities;
Support marine related projects process improvements and capability assessments;
Coordinate Pilot and Master licensing accreditation documentation and simulator activities;
Support training simulations emergency exercises and safety initiatives;
Prepare reports manage systems (including PortMIS Maximo VTS systems) and assist with budgeting and asset tracking;
Assist with labour allocation; and
Work closely with Group Administration to ensure consistent and efficient service delivery.
About you
Youre an organised and adaptable administrator who enjoys working in a busy operational environment. Youre confident dealing with a wide range of stakeholders can juggle competing priorities and take pride in delivering reliable high-quality support.
You will bring:
Experience working in an office or administrative role ideally supporting senior leaders;
Strong document preparation and records management skills;
Excellent customer service and communication skills;
The ability to work autonomously while collaborating with diverse teams;
Strong time management skills and the ability to stay calm under pressure; and
A proactive professional and confidential approach to your work.
Your skills and experience will include;
Secondary Certificate IV or above qualifications in business and specialist training in specific area or discipline;
Valid Drivers Licence; and
Ability to obtain a Maritime Security Identification card.
Previous experience providing project support is desirable but not essential.
