Job Summary

Organization: Belong OttawaJob Title: Operations AdministratorReports To: Director of OperationsRole Summary:The Operations Administrator provides essential administrative and operational support to ensure the efficient functioning of the organization. This role involves managing communication scheduling document preparation and other general administrative tasks while also supporting the rollout adoption and day-to-day administration of IT systems and software applications. The Operations Administrator plays a key role in supporting the management team strengthening internal processes and ensuring smooth organizational Responsibilities:Administrative and Executive Support:Serve as the primary point of contact for incoming inquiries answering calls and emails and responding to or redirecting inquiries and schedule meetings prepare agendas and take minutes for internal and external in drafting proofreading and sending correspondence including emails letters and and organize files documents IT inventory and databases ensuring they are up-to-date and easily the calendar and appointments of team members coordinating with other stakeholders to ensure efficient time with the preparation of presentations reports and communications for internal and external basic financial tasks such as processing invoices tracking expenses and assisting with budget and Coordination:Liaise with internal stakeholders providing support and ensuring smooth communication across with external contacts including vendors service providers and partners ensuring timely clear and timely dissemination of information including meeting materials and updates to all relevant and Task Coordination:Assist in organizing resources for office projects including scheduling and coordinating with team members and external project deadlines ensuring tasks are completed on time and aligned with organizational in the development and implementation of office-wide initiatives to improve workflow and administrative processes including file management transition from drop box to SharePoint environmentAccounts payable and payroll administration processesDonations processing including incoming donations and statistics databaseAssisting in administrative training delivery developing training documents and tracking where needed for example HIFIS SharePoint and Ring CentralAssisting in searching for grants and contributions and Application SupportSupport the rollout implementation and ongoing administration of organizational software and with user onboarding access management and basic troubleshooting related to office systems and IT-related documentation user guides and training materials to support consistent system use across the system transitions and process improvements including file management and platform migrations (e.g. Dropbox to SharePoint).Required Education and Experience:Post-secondary education in business administration or a related field is in administrative support roles is an in financial life cycle including reporting an assetExperience supporting software implementations or application rollouts in an organizational setting is considered a strong of grants and contributions applications also an in Microsoft Office Suite and familiarity with cloud-based platforms (e.g. SharePoint Microsoft 365) and other standard office and Competencies:Strong organizational and time management communication and interpersonal to work well under pressure and manage multiple tasks -oriented with a strong focus on accuracy and and capable of working independently as well as part of a Contacts:Team members department heads and other internal Contacts:Vendors service providers and Information:This position will require occasional travel between sites for operational support meetings or is an asset but not mandatory.
