Job Description Summary

The Coordinator for Student Organization Services Student Organization Travel & Logistics will primarily manage student organization travel requests assist with student org purchasing and inventory and aid in the advising of SGA.

This position is a part of the Student Organization Resource Center (SORC) which offers overall support and development opportunities to 650 registered student organizations and is one of the programmatic areas of the Activities Unit of the Adele H. Stamp Student Union Center of Campus Life.

The areas composing the Activities Unit include Stamp Events the advisory of Student Entertainment Events student program board and advisory for the Student Government Association the Student Organization Resource Center (SORC) and the Student Legal Aid Office. The Activities Unit is part of the L.E.A.D. (Leadership Engagement Advocacy Diversity) area of the Union.

The person in this position will:

Serve as part of a team providing resources to 650 student organizations
Support overall training advising and education efforts for registered student organizations and advisors
Provide overall support to programs and services offered by SORC The Activities Unit and the Adele H. Stamp Student Union
Participate in STAMP and other campus committees
Complete other duties as assigned

Travel:
Develop manage and administer training for student organization travel which includes in-person and online trainings on topics such as safety protocol risks liability and responsibilities
Provide support and assistance to student organizations in making travel plans and acquiring necessary information for travel requests
Monitor and sanction student organization members for policy violations regarding travel
Communicate and collaborate with campus colleagues such General Counsel Risk
Management Travel Services and Student Conduct
Support Activities area travel needs and coordinate logistical and functional aspects of
student org travel
Collect and maintain travel-related data to inform policy changes

Business & Inventory:
Collaborate with SORC Finance Staff to manage purchasing request for student organizations
Respond to questions and inquiries from student organizations regarding travel and other financial processes
Assist with monthly reconciliation of student organization accounts
Manage the Inventory Control process (tracking receiving distribution communications audits) for physical items purchased by student orgs
Process reimbursements for student organizations on case-by-case basis

Supervision and Advising:
Co-supervise a team of student Account Specialists with the SORC Finance & HR Coordinator utilizing Stamps GROW framework
Create training materials and workshops for student staff
Work with the Assistant Director of Student Activities in support of the advising the Executive and Legislative branches of the Student Government Association to include attending weekly General Body Meetings.

Preferred Qualifications:
Masters degree in student affairs higher education business or related field.
2 years of administrative experience in business general administration or student affairs (particularly with student organizations and/or administrative processes such as travel purchasing inventory etc.).

Minimum Qualifications

Do not use without previous authorization from Central Human Resources Office.

MINIMUM QUALIFICATIONS:

Education: Bachelors degree from an accredited college or university.

Experience: One (1) year of professional administrative or coordinator experience.

Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education.

KNOWLEDGE SKILLS ABILITIES:

Knowledge of best practices in organization administration and customer service.
Knowledge of proper protocol in dealing with confidential information.
Skill in oral and written communication.
Skill in the use of Microsoft Office products.
Ability to interpret and apply policies procedures regulations and laws.
Ability to multitask while demonstrating a commitment to customer service and sensitivity to a culturally and ethnically diverse community.

Additional Job Details

Physical Demands: Work takes place in both an office environment and in on-campus buildings; will require ability to travel throughout campus. There may be occasions when the incumbent will need to work outside their normal work shift to accommodate other shifts that exist in the organization for purposes of meetings training etc. Must be able to lift at least 25lbs to support inventory management.
