Job Summary

This is a paid internship range of $22/hr - $39/hr (depending on role and qualifications) for those currently pursuing undergraduate degrees and higher rates for those currently pursuing graduate level degrees.

DEPARTMENT OVERVIEW

Sound Transits Capital Delivery Transformation department oversees Capital System Expansion Implementation throughout the Puget Sound region Link Sounder ST Express and Tacoma Link. The Business Analyst Project Control intern will have an opportunity to be a part of the team that oversees our Document Control services and learn how a large regional transit system is managed.

PRIMARY DUTIES AND RESPONSIBILITIES

Incumbent(s) may not be required to perform all duties listed and may be required to perform additional position-specific duties.

List job duties:

  • Supports technology initiatives relating to the capital program including administration technical support and testing for Electronic Content Management systems (ECMs) capture e-signature reporting data migration data integration workflow and other technology tools and systems. Executes design and configuration requirements in the ECM and 3rd party solutions. Manages user and group access control permissions and assigns classifications to protect and secure access to content structures and records based on legal privacy and customer constraints.
  • Gathers and analyze end user business needs to develop and document detailed requirements to align with the Capital Programs and Agencys enterprise architecture and industry best practices.
  • Develops and executes plans for electronic records management solutions to meet sustainability standards as defined for the agency and in accordance with state and federal guidelines; creates testing and quality assurance plans for new solutions being deployed across the Capital Program.
  • Partners with IT and inter-department customers to create and implement a standard file plan to properly classify records; provides oversight for the deployment of standard metadata.
  • Partners with IT and business stakeholders analyzing existing business processes that support the creation and maintenance of records in electronic format and in applying appropriate technologies to automate manual record keeping tasks; prepares plans for continuous process improvements across the Capital Program and departments. Understands business needs and identifies opportunities for process improvement in alignment with Agency electronic systems. Researches new technologies systems and tools to enable more efficient data collection collaboration communication and business processes; assesses impact on organizational efficiency and effectiveness makes recommendations and implement solutions.
  • Develops system integration and migration strategies to ensure the long-term preservation and integrity of records and related metadata over their required lifetime as information systems are upgraded or replaced.
  • Promotes awareness of electronic records management requirements and technology solutions across the Agency Capital Program staff contractors and consultants as outlined in federal and state records retention laws;
  • Partners with IT and Human Resources to develop automated training for long-term sustainability of the program.
  • Demonstrates Sound Transits Values in every interaction.

List potential projects that may be assigned:

  • Permission group mapping for data migration.
  • Creating a ticketing system using SharePoint lists and Power Automate.
  • Creating a notification/workflow approval system using SharePoint lists and Power Automate.
  • Creating Power BI dashboards for various SharePoint functions: Number of users in sites access groups terabytes of information.

MINIMUM QUALIFICATIONS:

Applicants must be current college students in good academic standing enrolled in an accredited associate bachelors or graduate degree program in Records Management or Business or a relevant two-year certificate.

PHYSICAL DEMANDS/WORK ENVIRONMENT:

  • Work is performed in a standard office environment.
  • Subject to standing walking bending reaching stooping and lifting of objects up to 25 pounds; may occasionally be exposed to dangerous machinery when visiting job sites during construction and when working in the field.
