About the Role:

This is more than a traditional Executive Assistant role its a front-row seat to strategy leadership and enterprise-level decision-making.

The Executive Assistant to the Executive Vice President Chief Strategy and External Affairs Officer plays a critical role in enabling senior leadership and driving organizational effectiveness. This position is ideal for a seasoned highly motivated professional who wants hands-on exposure across functions enjoys partnering with senior leaders and thrives in a dynamic fast-moving environment.

The ideal candidate is proactive polished and solution-oriented someone who anticipates needs builds trust quickly and brings calm and clarity to complex time-sensitive situations. Youll work closely with executive leadership internal teams and external partners making this a highly visible and impactful role.

What Youll Do:

  • Manage complex and high-volume calendars for a Senior Executive and multiple Vice Presidents in a fast-paced environment
  • Serve as a trusted gatekeeper managing communications and interactions with internal teams external partners and the public
  • Coordinate internal and external meetings senior leadership sessions and participation in industry conferences
  • Plan organize and support executive-level meetings including agenda creation materials preparation logistics and follow-up
  • Arrange and manage detailed domestic and international travel itineraries
  • Prepare compile and distribute executive-level presentations communications and materials
  • Process expense reports and manage invoices with accuracy and discretion
  • Lead or support events as needed from planning through execution
  • Partner with Finance and Accounting to code invoices correctly against budgets cost centers and projects
  • Establish new vendors in the global procurement system (GEP) by gathering and validating required documentation
  • Utilize accounts payable systems (Catalyst) to ensure timely and accurate processing
  • Continuously look for opportunities to improve processes increase efficiency and support the broader organization

What Youll Bring:

  • 10 years of administrative experience ideally supporting Senior Vice Presidents or equivalent executive leadership
  • Bachelors degree preferred
  • At least 3 years of experience supporting C-suite executives with exposure to corporate operations office management travel coordination expense reporting and event planning
  • Advanced proficiency in Microsoft Office (Outlook Word Excel PowerPoint Teams)
  • Experience with travel and expense management tools such as AMEX and Concur
  • Exceptional organizational skills and strong attention to detail
  • Proven ability to juggle multiple priorities and meet competing deadlines in a fast-paced environment
  • High level of professionalism discretion and confidentiality
  • Strong written and verbal communication skills
  • A proactive analytical mindset with a passion for improving processes and challenging the status quo
  • Self-motivated resourceful and comfortable working independently or as part of a team
  • Curious adaptable and eager to learn across different areas of the business
  • A true jack/jill-of-all-trades who enjoys variety and new challenges

The estimated hourly range for this position is $45 to $55 per hour plus pay is dependent on multiple factors such as skills experience and work location and is not typically at the top of the range.
