Description of Work

The Business Support Assistant provides administrative and clerical support to the Vital Records unit within the Division of Public Health. This position applies established policies procedures and state laws to process and maintain vital records while ensuring accuracy confidentiality and compliance. Responsibilities include customer service document verification fee collection and record management in both electronic and paper systems. Work is performed under general supervision and requires attention to detail productivity and adherence to confidentiality standards.

Key Duties Include:

- Collect process and reconcile fees in accordance with established financial controls

- Enter update scan index and maintain vital records in electronic and paper systems

- Review requests and verify documentation for accuracy and compliance
Issue authorized records to customers following established procedures

- Process incoming and outgoing mail including document preparation and distribution

- Maintain organized files and logs while safeguarding confidential and sensitive information

- Perform quality control checks to ensure accuracy of records and data entry

- Track workloads meet established deadlines and support efficient unit operations

- Respond to routine inquiries from the public and internal partners in a professional manner

- Escalate non-routine or complex issues to supervisory staff for resolution

Knowledge Skills and Abilities/Management Preferences

Salary Grade Range: $31200.00 - $53812.00

Recruitment Range: $31200.00 $35190.00

The Knowledge Skills and Abilities (KSAs)/ Management Preferences are not required. Applicants who possess the following skills are preferred:

  • Demonstrated experience performing data entry and quality control in electronic record management systems with high accuracy and productivity

  • Skilled in reconciling financial transactions and maintaining audit-ready documentation using intermediate-level proficiency in spreadsheet software

  • Proven ability to manage high-volume mail processing and document distribution workflows within established deadlines

  • Experienced in delivering front-line customer service in a regulated environment including handling confidential information and resolving routine inquiries professionally

  • Proficient in organizing and maintaining both electronic and paper filing systems to ensure compliance with records retention and confidentiality standards

About Vital Records

N.C. Vital Records is part of the DHHS Division of Public partnership with county registers of deeds offices local health departments and birthing facilities throughout the state we are responsible for recording North Carolinas vital events. This includes responsibility for legally registering all births deaths fetal deaths marriages and divorces which occur in North Carolina; coding these events for statistical purposes; maintaining these records; and providing certified or uncertified copies to individuals researchers and public health programs.
