Job Description Summary

This position is responsible for managing student services and supporting School wide student advising for all the undergraduate graduate and doctoral programs within the School of Social Work (4 programs including: BSW MSW PhD and Indigenous Initiatives).

Organizational Status

Reports to the Administrator with guidance from the Director; works with the Program Chairs; advises students; coordinates admissions sits on the undergraduate and graduate curriculum and field education committees; develops advising office policy. This position interacts and communicates with faculty members students staff and the general public and other academic and administrative units on campus as well as external agencies as required.

Work Performed

A. Admissions
- Responsible for managing and evaluating the organization and operations of Admissions researching developing and implementing new processes and procedures where necessary
- Advises on current admission requirements and keeps apprised of changing policies
- Analyzes admission criteria assesses and authorizes admission eligibility applying University and School policies regarding assessment of admissibility for programs
- Interacts as required with the Registrar s Office and other UBC student services offices in order to process admissions
- Advises applicants of unfavorable decisions and provides routine counselling on alternative academic opportunities



B. Student Services
- Provides timely and accurate academic & program advising to prospective and current undergraduate and graduate students staff departments and faculty based on assessment of policies and procedures specific to individual programs.
- Responsible for managing the development organization evaluation and operations of student services and advising making strategic recommendations for areas of improvement and growth in student advising services
- Manages undergraduate (BSW) student course selection programs of study changes in registration and requests for academic concession based on medical emotional or other problems
- Evaluates students academic performance reviews students standing and recommends student promotion for BSW
- Investigates and resolves complex student program issues investigates and evaluates discrepancies in student records
- Manages adjudication process for BSW
- Maintains current knowledge of academic advising standards and best practice
- Plans and coordinates Fall orientation sessions for students
- Plans and coordinates workshops and seminars for students including Career Days information sessions educational workshops etc.
- Student Development - develops innovative programs policies and resources to support the diversity of the student population
- Monitors grade submissions by faculty assists when required ensures grades are entered on time
- Acts as initial recipient of academic appeals refers to Director for action
- Develops and provides statistical information and reports relating to student issues



C. Policies and Procedures
- Develops and implements practices and policies in consultation with Director Administrator Program Chairs and other University departments that support each individual program and the Mission of the School especially implementation of the Schools Indigenous Strategic Plan
- Develops and maintains an Advisor Policy and Procedures Manual


D. Awards
- Nominates and processes in consultation with Program Chairs students for scholarships and awards
- Investigates awards and financial support that may apply to students of the School and informs students accordingly


E. Publications/Recruitment
- Represents and promotes the School of Social Work at career fairs seminars high school counsellor information days schools and other institutions and venues
- Develops writes copies edits and oversees design publication distribution and maintenance of materials


F. Committees
- Committee membership: BSW Committee MSW Committee Field Ed Committee representative


G. Other
- Supports Accreditation and review processes when they occur
- Other duties as required


Consequence of Error/Judgement

This position interacts directly with students and the academic community on issues of admissions and student services and directly affects the reputation of the School and student enrollment. Incorrect or inappropriate decisions may jeopardize student s academic programs and their ability to graduate; and may affect the credibility of the School of Social Work the operations of the Advising Office and the University.

Supervision Received

Works independently under general direction within defined objectives; results are subject to review.

Supervision Given

May supervise admissions staff as required.

Minimum Qualifications

Undergraduate degree in a relevant discipline. Minimum of one to two years of related experience or an equivalent combination of education and experience.

- Demonstrates a commitment to enhancing ones own awareness knowledge and skills related to equity diversity and inclusion

Preferred Qualifications

-Undergraduate degree in a relevant discipline.

-Effective interpersonal (creative diplomatic interculturally sensitive patient tactful) and

written communication skills.
-Demonstrated experience with a diverse student population and work environment.
-Good judgement and decision making abilities.
-Information technology skills.
-Proficiency with student service software programs and administrative software

-Knowledge of Workday Student and UBC Admissions and Program management experience
