1. General Background
UNHCRs Private Sector Partnerships (PSP) Section plays a critical role in engaging the private sector to mobilize resources partnerships and influence in support of refugees and forcibly displaced populations. As part of its mandate PSP leads or contributes to high-level global eventssuch as the World Economic Forum (WEF) Annual Meeting the United Nations General Assembly (UNGA) High-Level Week and the Nansen Refugee Awardwhere the organization engages governments private sector actors foundations and other strategic stakeholders.
These events require strong cross-divisional coordination structured planning and rigorous tracking of engagements to ensure that UNHCRs leadership is strategically positioned to advance advocacy fundraising and partnership objectives. The Associate Events Officer (Private Partnerships and Philanthropy) will operate in a fast-paced environment requiring precision discretion and operational excellence and will support the effective delivery of UNHCRs presence and impact at these high-visibility fora.
2. Purpose and Scope of Assignment
The Associate Events Officer (Private Partnerships & Philanthropy) will support the planning coordination and execution of UNHCRs participation in major global and private sectorfacing events. Working under the supervision of the Senior PSP Officer and in close collaboration with colleagues across PSP DER DIPS Regional Bureaux and Executive Office the incumbent will:
- Event Coordination & Project Management:
Support end-to-end coordination of UNHCR engagement at high-level fora (e.g. WEF UNGA Nansen) including timelines workplans and deliverables.
Manage and facilitate the internal event taskforces ensuring timely inputs structured discussions clear tasking and effective information flow.
Draft maintain and update event-specific project documentation such as agendas concept notes briefs run-of-show plans and task trackers.
- Engagement Tracking & Stakeholder Coordination:
Support the consolidation and tracking of leadership engagements meeting requests priorities and outcomes.
Liaise with internal divisions to ensure alignment and timely provision of background materials talking points and intelligence.
Manage coordination channels with external partners (private sector foundations event organizers) as required.
- Operational & Logistical Support:
Support planning and execution of side events bilateral meetings high-level roundtables and private sector engagements.
Assist with venue coordination scheduling invitation management and participant tracking.
Contribute to post-event reporting data consolidation and lessons-learned exercises.
- Knowledge Management:
Maintain structured archives templates and knowledge repositories to support consistency across annual event cycles.
Support the development and refinement of event processes and SOPs.
Expected travel: Occasional mission travel in support of major global events (e.g. UNGA WEF) depending on operational needs.
3. Qualifications and Experience
a. Education
Required:
University degree (Bachelors or equivalent) in International Relations Political Science Communications Business Administration Event Management or related field.
Preferred:
Advanced university degree (Masters or equivalent) in one of the above fields.
b. Work Experience
Required:
Minimum 3 years (with Bachelors degree) or 2 years (with Masters degree) of experience in project coordination event management partnership support or other relevant operational roles.
Experience coordinating multi-stakeholder processes or working groups.
Experience supporting high-level meetings or events in international organizations NGOs governments or the private sector.
Desirable:
Experience working with UN agencies or international humanitarian organizations.
Familiarity with private sector engagement partnership building or resource mobilization.
Experience supporting senior leadership and preparing briefing materials.
c. Key Competencies
Required Competencies:
Strong coordination and organizational skills with the ability to manage multiple workstreams and deadlines.
Excellent project management skills including planning tracking and stakeholder follow-up.
High attention to detail and ability to produce high-quality written products.
Strong communication skills both written and verbal.
Proficiency with Microsoft Office tools (Excel SharePoint Teams PowerPoint).
Ability to work under pressure handle competing priorities and adapt to fast-paced environments.
Teamwork and collaboration especially across diverse and geographically dispersed teams.
Discretion and professionalism in handling sensitive information and high-level engagements.
Desirable Competencies
Knowledge of humanitarian issues displacement and UNHCRs mandate.
Familiarity with CRM systems or event management platforms.
Experience with process documentation SOP development or knowledge management systems
4. Location and Conditions:
The successful candidate will be based in Copenhagen Denmark. The grade of this position is IICA-1 (P-2 equivalent).
This position is initially until the end of the year with a possibility of extension based on performance and/or budget availability. It is a full-time role starting from 8.30am to 5pm Monday to Friday (40 hours per week).
