Role Overview
The Admin & Liaison Person will be responsible for day-to-day administrative coordination
government and utility liaison work insurance and documentation follow-ups and field-based
operational support for all company premises and owner premises. This is a coordination-heavy
field-oriented role requiring strong follow-up and communication skills.

Key Responsibilities

  1. Premises Maintenance & Administration
    Coordinate and follow up with electricians plumbers carpenters technicians and
    other service providers for maintenance and housekeeping of all company premises
    and owner premises.
    Ensure timely completion of work and proper follow-up on pending maintenance issues.

  2. Insurance Coordination
    Handle renewal of medical vehicle and general insurance policies.
    Obtain quotations prepare comparisons and submit details for management approval.
    Follow up with insurance agents for claims processing and settlements.

  3. Personal & Statutory Documentation
    Coordinate renewal of passports driving licenses and other statutory documents of
    the owner and family as required.
    Track expiry dates and ensure timely action.

  4. Government Utility & Service Provider Liaison
    Handle correspondence and follow-ups with government departments for company
    related work.
    Coordinate with electricity companies internet service providers telecom
    companies and mobile SIM providers including raising service requests and ensuring
    resolution.

  5. Purchase & Vendor Support
    Handle outside office work such as sourcing materials from local markets and shops.
    Identify vendors or suppliers for specific requirements through market visits online
    research or references.

  6. Travel & Expense Coordination
    Arrange travel bookings (train flight bus etc.) for staff.
    Maintain basic records of travel details and related expenses.

  7. Documentation Notarization & Registrations
    Coordinate notarization of documents.
    Handle submission of documents and registration-related paperwork in various
    government departments.

  8. Field Work & Mobility
    Willingness to travel frequently for follow-ups submissions vendor visits and
    coordination work.
    This role is not limited to desk work and requires active field movement.

  9. Communication
    Draft and send basic professional emails to vendors service providers and
    authorities.
    Maintain communication records where required.

  10. Fire Safety & Compliance
    Coordinate periodic refilling and maintenance of fire safety equipment at all relevant
    premises.
    Track servicing schedules and ensure timely compliance.
