We are seeking a dynamic and strategic professional to join the student affairs team in CCDS.
Job Responsibilities:
Leadership and Team Management
Oversee and supervise a team of 2 administrative staff in running the requisite daily operations of Student Affairs support including:
Provide coaching and training where necessary;
Motivate and resolve issues within the team if these arise; and
Streamline existing workflows and implement new processes for continuous improvement in efficiency and effectiveness of service delivery.
Assign team resources (viz. manpower and budget) efficiently to achieve desired goals and outcomes.
Plan for and encourage the growth and professional development of team members to ensure team sustainability.
Student Engagement Activities
Propose activities to increase student engagement.
Work with Lead (Outreach Student & Alumni Engagement) to enhance collaboration with student committees designing activities/events to create a holistic and engaging student life.
Advise Student Committee to ensure success of student-led events.
Participate and assist in student-led and alumni events.
Holistic Student Care and Support
Supervise staff and assist in counselling and coordinating with relevant departments to provide holistic pastoral support for at-risk students and referral cases including:
Academic Performance Cases and Early Intervention.
Re-admission appeals.
Academic termination appeals.
Recommend student care plans for cases referred to the Student Affairs team.
Maintain a communication channel between the University Wellbeing Office and the College.
Execute the Mentor-Mentee Allocation Exercise as per the needs of the College.
Improve Internal Processes and Cross-Team Collaborations:
Review and update SOPs and administrative processes for continuous improvement and resource optimization.
Collaborate with the Colleges Undergraduate Academic team on student cases where relevant.
Management of General Disciplinary Cases
Facilitate Preliminary Investigations (PI) and work closely with the Committee of Inquiry (COI) and Boards of Discipline (BOD) for all general student disciplinary cases.
Provide regular updates and recommendations to the Associate Dean (Student Affairs & Alumni Engagement) regarding general student disciplinary cases and seek approval as needed.
Maintain records of student misconduct disciplinary actions and outcomes.
Teaching Support for Students
Provide teaching and academic support for students with Special Educational Needs (SEN).
Provide teaching and academic support for at-risk students facing Academic Warning (AW) Academic Probation (AP) Academic Termination (AT) Scholarship Warnings Significant drop in SGPA Semester LOAs and Withdrawals.
Ensure adherence to Universitys SOPs and guidelines when providing academic and teaching support.
Departmental Finance Matters
Monitor departmental budget review allocated fund utilization and expenditure.
Recommend purchases which align with the departments needs.
College Publicity
Work closely with the Communications & Publicity team to increase the visibility of student events in the College.
Drive brand awareness and enhance the Colleges reputation among the student population.
General Inter-Departmental Support
Mobilize and coordinate the student affairs team to support college-wide events and activities where needed.
Address inquiries and assist the Deanery faculty students alumni and visitors on student affairs-related matters.
Work with the Career & Attachment Office and the Student Affairs team to follow up with recent graduates to enhance both the response rate and outcome of the GES
Job Requirements:
You should possess a bachelors degree with a minimum of 5 years of work experience in an education institution.
You should have working knowledge in the mentoring and counselling of students.
You should be proficient in MS Office applications and database management systems.
You should have experience supervising a team.
You should be able to work independently and be a team player.
You should possess good communication and customer service skills.
Candidates with prior counselling and case management experience will be at an advantage.
