Job Summary

The Curatorial Associate reports to the Chief Curator and works primarily with Curatorial Staff Volunteers (such as Gallery Docents Art Installation Crew Members and Event Volunteers) and Artists. This position requires an appreciation for art and Artists strong organizational skills computer skills and ability to learn BIMA databases and report formats ability to handle and install art and experience working with staff teams and volunteers. This position also requires excellent communication skills problem-solving skills confidentiality and the ability to work with minimal addition to Curatorial support this position is a key player on the Auction Staff Team in particular helping to coordinate and track donations of art.

DUTIES & RESPONSIBILITIES:

Gallery Coverage: BIMA is open seven days per week including some holidays. This position oversees the Galleries and Volunteer Docents two days per week filling in for the full-time staff covering the other five days. This position involves opening and closing the museum and following all BIMA customer service operational and safety protocols. This position ensures positive visitor experiences and helps to recruit and supervise volunteers as needed. It also hosts outside groups for tours and discussions of the galleries

Auction Support: BIMA has an annual art auction our largest fundraiser of the year. The Curatorial Department plays a key role managing the procurement of donated art and supporting the event in numerous other ways such as art installation packing etc. This position is the primary database staff for the art procurement which involves date entry and reports and gathering key information from artists and art donors required for the financial success of the auction and to close out all needed records. Attention to detail and deadlines is required to ensure the completion of all forms and other donor records submission of required W-9 forms etc.

Exhibitions Planning: This position supports the Curatorial Staff with all aspects of exhibitions planning including image and art inventories art pick-ups receiving storage and returns.

Permanent Art Collection (PAC) Support. BIMA has a growing art collection. This position supports the tracking of artworks and related donor records and the storage transport and handling of artworks in or proposed for the PAC. This involves driving to an off-site location and other trips to pick up or transfer art as needed.

Art Installation: BIMA rotates exhibitions on a regular basis and supports episodic installation changes to for various BIMA events programs and building maintenance. This position requires the ability to handle art safely and to work in a fast-paced and multi-tasking environment with varying teams of Staff and Volunteers. Basic abilities to pack pick up carry or move (twenty (20) pounds) and install art are required. Specific training is available.

Database Support: The Curatorial Department utilizes and maintains our portion of several databases. These include NAS (filing sharing and storage) Volgistics (Volunteer database) Salesforce (Constituent database) Collector Systems (PAC records and website interface) Greater Giving (Auction art database) Art and exhibitions Images files and many shared Google Sheet and Google Drive tool. This position will support the Curatorial Staff with all databases and plays a primary role with Greater Giving.

Artist Information: BIMA solicits and maintains information on artists in our exhibitions and Permanent Art Collection (PAC). This position plays a primary role to keep needed information current for our visitors and BIMA records.

BIMA Staff Teams: Staff teams are both formal and ad hoc supporting both daily operations events and BIMA initiatives. This position will work with other departments on a daily basis to ensure smooth daily operations (in particular Facilities Front Desk Education Bistro Events and Store) and will support other functions as needed.

Other Duties: Other duties as assigned by Supervisor and/or Staff Projects Leads as required by BIMA policies and protocols.

Requirements

CANDIDATE QUALIFICATIONS:

A Bachelors degree in a related field and two (2) years of related work experience.

Ability to learn complex data management systems and procedures and auction software.

Ability to adapt quickly pivot strategies and learn new technologies as needed.

Excellent written and verbal communication skills including computer skills.

Proficiency or ability to learn Microsoft Office Suite and Google Suite.

Ability to work in a fast-paced environment and to handle multiple and varied projects.

Ability to work flexible and variable hours.

Valid drivers license & vehicle insurance and ability to drive cars and vans for BIMA purposes.

MAST (alcohol serving) and Food Handlers permits required.

Represent BIMA to the public and all stakeholders in a positive and professional manner providing outstanding service to all clients with a commitment to confidentiality.

Availability to work BIMA events especially BIMAs BIMA Bash! Auction.

COMPENSATION SCHEDULE AND BENEFITS:

  • Compensation: $24 per hour.
  • Part-time position up to thirty-two (32) hours/week with weekend and evening availability as needed.
