JOB SUMMARY/ESSENTIAL JOB FUNCTIONS:The Administrative Associate 2 provides administrative support to full-time faculty. This position supports the operational efficiency and compliance of the department directly contributing to the Universitys mission.
Responsibilities- Provides comprehensive administrative support to full-time faculty members including correspondence form preparation document management call screening Outlook calendar coordination Digital Measures reporting ERAS student uploads CME requests quarterly meeting coordination time-off requests and timesheet processing.
- Initiates EMR documentation for transitional care patient visits and coordinates clinical appointments to ensure continuity of care.
- Schedules and coordinates resident home visits ensuring proper documentation and timely follow-up.
- Processes and pays invoices for supplies equipment and hotel accommodation through DASH; reconciles procurement card transactions for events food and registrations.
- Assists Program Manager with program-related projects and deadlines as needed.
- Drafts processes and distributes
- Prepares and submits new vendor documentation for purchases with external companies annual Program Letters of Agreement (PLAs) and reappointment letters.
- Performs other duties as assigned.
QualificationsMINIMUM REQUIREMENTS:
EDUCATION:High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE:Two (2) years of administrative experience; ORAssociates Degree in lieu of experience.
KNOWLEDGE SKILLS AND ABILITIES:
- Strong planning and organizational skills with the ability to manage workload independently and consistently meet deadlines.
- Excellent written and verbal communication skills; able to build and maintain positive relationships with residents faculty and staff.
- Proficient in Microsoft Office Suite (Excel Word PowerPoint) with strong time management and multitasking abilities.
- Flexible availability including after-hours responsiveness via email or cell phone as needed.
- Proven ability to initiate conversations and effectively engage potential clients.
