Veterinary Wellness Partners is a privately owned family oriented veterinary practice with a commitment to excellence. With our increasing number of new clients we are continuously adding to our dynamic team. We pride ourselves on our exceptional care given by our compassionate doctors and staff. Founded in 1956 our AAHA accredited Orrville Veterinary Clinic was the first in our organization of clinics. Today we are thriving as we have grown to five clinics in total. Job Summary: Our large animal Client Services Specialist (CSS) team sets the tone for the practice with our equine and dairy herd clients. As the first person to interact with our clientele our large animal CSS team builds and maintains each clients trust and confidence in our abilities. We are looking for a professional organized and detailed individual to be a part of our large animal client services team. Being a CSS in our veterinary office takes a special kind of person who understands the importance of providing our clients with superior customer service. This position is unique in the fact that our CSS team rarely sees our large animal patients because mostly all of our appointments are done on the clients property. This means that the bulk of the contact with clients will be done over the phone. If you have great communication skills genuinely enjoy assisting people with getting the care needed for their animals and youre outgoing and friendly - then this position is for you!


Job Duties Snapshot:

  • Serve as the liaison between the veterinarian and our clients
  • Answer phones promptly and professionally using a multi-line phone system
  • Screen and route calls to appropriate staff
  • Provide phone shoppers with descriptions of services first price last
  • Take and deliver messages promptly to appropriate staff
  • Note in medical records the details discussed during client conversations including the date time key points of the discussion and any action required
  • Check medical records for accurate client addresses phone numbers and e-mails
  • Schedule farm calls according to clinic scheduling guidelines
  • Answer clients questions about veterinary services and products and provide knowledgeable advice about wellness prevention and diseases
  • Foster collaborative relationships with other team members and departments
  • Collect payments for account balances and farm visits


Skills necessary to be successful in this position:

  • Soft Skills: Strong communication attention to detail organizational and multitasking abilities are crucial along with the ability to handle stressful situations while maintaining empathy for our clients during emotional times.
  • Medical Terminology: Knowledge of equine bovine and small ruminant-specific anatomy and common health issues to relay medical information accurately between clients and veterinarians.
  • Software Proficiency: Familiarity with the veterinary practice management software ezyVet is preferred. Ability to assist clients with MyVetStore Online pharmaceutical orders.
  • Communication: Exceptional verbal and written skills for handling appointments obtaining detailed information from our clients over the phone and seamlessly relaying it to the large animal medical team.
  • Appointment Management: Scheduling farm calls with an approximate arrival time window while coordinating the complex logistics of multiple mobile vet units.
  • Pharmacy Support: Ability to assist with medication refills and explaining basic administration instructions to owners at the request of our doctors.
