Because of the temporary nature of these appointments Casual Hire employees are not eligible for most benefits as provided to regular Board of Regents (BOR) and Civil Service employees (i.e. paid holidays/leave). Casual Hire appointments may last for up to 89 days for full-time employees and up to 1 calendar year for part-time employees.

Duties:

  1. Performs entry-level administrative and/or fiscal support functions.
  2. Monitors and processes internal accounting for general special external and Foundation funds.
  3. Coordinates procurement activities and travel authorizations ensuring strict adherence to state administrative and contractual requirements. Facilitates purchasing for supplies and equipment while safeguarding sensitive fiscal and personnel files.
  4. Manages the Deans calendar and facilitates communications with internal and external stakeholders. Coordinates college events maintains departmental websites and provides high-level administrative support including drafting sensitive correspondence and project proposals.
  5. Assists with contacting vendors and obtaining quotations for purchases.
  6. Assists with monitoring expenditures and encumbrances regularly and reports irregularities to the Dean.
  7. Prepares and coordinates program communications with students and staff (mailings emails etc.) including making phone calls answering phones preparing program meeting agendas and emails and recording accurate meeting notes.
  8. Other duties as assigned by the Dean.

Minimum Qualifications:

  1. Possession of a baccalaureate degree in business management and/or accounting or related field and one (1) year of professional experience in an office or fiscal setting or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
  2. Functional knowledge of principles practices and techniques in institutional accounting and procurement including the ability to apply standardized terminology and concepts.
  3. Functional knowledge of principles theories and federal/state laws and regulations associated with fiscal and budget management.
  4. Demonstrated ability to identify fiscal discrepancies research underlying causes using established records and suggest practical solutions to ensure accurate and timely processing.
  5. Ability to review administrative documents for accuracy draft clear correspondence and summaries and communicate professionally with various University departments and external partners.
  6. Demonstrated ability to operate a personal computer and apply word processing and spreadsheet software including Microsoft Office and Google Suites.
  7. Detail-oriented with a proven ability to organize and follow through on complex projects with minimal supervision.

Desirable Qualifications:


  1. One (1) year of successful office experience within a higher education setting with specific exposure to university-level accounting and personnel records.
  2. Proven experience managing multiple state and/or federal budget lines including payroll and contract administration.
  3. Demonstrated knowledge of complex digital platforms including database management financial systems (e.g. Kuali) and fiscal data analysis.
  4. Demonstrated ability to train others in complex policies and procedures and to effectively manage and resolve workplace conflict.
  5. Ability to independently direct the administrative operations of a high-volume office setting.
