TITLE: Transportation Secretary
REPORTS TO : Transportation Director and Assistant Transportation Director
APPROVAL DATE: December 20 2012
JOB GOAL
To assure the smooth operation of the Transportation Department for the ultimate benefit of the
districts educational and administrative operations
SUPERVISORY RESPONSIBILITY
Not Applicable
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Performs all necessary secretarial duties
- Schedules appointments meetings and conferences
- Organizes schedule for athletic and extra-curricular travel and issues written travel
- authorizations
- Helps prepare and process payrolls
- Attends conferences and meetings as required
- Processes purchase requisitions purchase orders invoices and receiving reports
- Serves as receptionist
- Maintains required records on sick leave vacation personal leave or other leave
- Makes recommendations to improve general transportation services
- Compiles issues and coordinates the districts servicing calendar
- Helps resolve minor transportation problems and public complaints
- Helps in processing paperwork for tags and inspection stickers
- Assists in matter requiring a substitute driver
- Performs any other task as may be assigned by the Transportation Supervisor
QUALIFICATIONS
- Demonstrated proficiency in general secretarial skills
- Demonstrated proficiency in English language
- Pleasant disposition
- Such alternatives to the above qualifications as the
- Superintendent may find appropriate and acceptable
EDUCATION AND EXPERIENCE
High school diploma or equivalent
Ability to respond to inquiries or complaints. Ability to write speeches and articles for publication that conform to prescribed style and format. Ability to effectively present information to top management and staff members
While performing the duties of this job the employee is continuously required to sit and to talk or hear. The employee is occasionally required to walk or stand. The employee is occasionally required to reach with hands and continuously will repeat the same hand arm or finger motion many times as in typing. Specific vision abilities required by this job include close vision depth perception and the ability to adjust focus.
Ability to type and to operate a computer and related software. Ability to develop effective working relationships with students staff and the school community. Ability to communicate clearly and concisely both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
The noise level in the work environment is usually quiet. Work is done indoors.
