Administrative Assistant

Key Responsibilities
- Coordinate meetings and leadership activities including preparing printing and distributing agendas and materials reserving and setting up facilities and recording and distributing meeting minutes
Manage incoming calls and correspondence with professionalism and discretion; take accurate messages and respond to emails in a timely manner; serve as a primary point of contact for internal and external stakeholders
Utilize Microsoft Office Suite and other business systems to create documents reports spreadsheets and presentations
Ensure proper operation of office equipment; troubleshoot issues and coordinate repairs or service as needed
Provide information and assistance to internal teams and external partners
Perform a wide range of administrative functions including document preparation data entry reporting support and maintaining organized paper and electronic filing systems and contact databases
Maintain a high level of professionalism and strict confidentiality with sensitive information
Plan and coordinate internal and off-site meetings events and team functions
Manage office supply inventory and ordering; ensure common areas and executive spaces are appropriately stocked
Sort and distribute mail ensuring confidential materials are handled appropriately
Demonstrate regular reliable and punctual attendance
Perform additional administrative and operational support duties as assigned
Requirements
- Minimum 5 years of experience providing high-level administrative or executive support including complex calendar management travel coordination confidential communications and prioritizing competing demands
Excellent verbal and written communication skills
Proficiency with Microsoft Office Suite and business systems
Strong organizational analytical and problem-solving skills with the ability to manage multiple priorities
Strong interpersonal skills with the ability to interact effectively at all levels of the organization
Ability to follow written and verbal instructions with accuracy
Sound judgment and the ability to handle sensitive information with discretion
Ability to work independently and collaboratively within cross-functional teams
Flexible and adaptable in a fast-paced changing environment
Strong attention to detail and project coordination skills
Education and Experience
- High school diploma or equivalent required
5 years of administrative assistant experience
Additional Requirements
- Valid drivers license required
Participation in pre-employment and random drug screening program
Subject to background screening
