Your Role: WhatYoullDo
As an EventSpecialist you will:
Event Planning & Coordination
Planpreparation tasks and logistical services for events
Handle logistical services for small and medium-size event projects from A to Z
Manage event duties and deliverlogistic services duringin-personevents
Day-to-day supervision of project tasks management ofseveralevent projects in parallel
Regularcontact with clients (mainly theEU Institutions)
Vendor& Stakeholder Communication
Sourcing of and coordination with service providers and suppliers setup of vendors and creation of POs
Coordination with internalcommunication managementcreative and production teams involved in event projects
Registration & Travel Management
Set up and day-to-day management of registration services (CVENT B2MatchSwoogo) and knowledge/management of online registration tools and platforms
Management of travel and accommodation services
Online & Hybrid Event Delivery
Management of technical tests briefingsrehearsalsandshow callingduring online or hybrid events
Delivery of online events by setting up and managing online event tools like Zoom WebexInteractio MS Teams
Whatwerelooking for
23 years of proven experiencein event organisation and management within a communication-focused environment ideally involving EU Institutions
A passion for creating and delivering first-class events and an interest in institutional communication
Solid organisational and planning abilities with a proactive and structured approach to multitasking
Excellent communication skillsand a collaborative team-oriented attitude
Meticulous attention to detailand a commitment to delivering high-quality services
Client-oriented mindsetdemonstratingresponsiveness professionalism and service excellence
Proficiencyin online registration and badging platforms such as CVENT SWOOGO and B2Matchas well asof virtual event tools and engagement platformssuch asZoom WebexInteractio MS Teams and is a plus
Commitment to organising eventsthat are cost-efficient innovative inclusive gender-balanced and environmentally sustainable
Strong written and verbal communication skills inEnglish and Frenchor Dutch(additionallanguages like German or Spanish are a plus).
Understandingor curiosityof howAI toolscan enhance event planning and delivery as well as the challenges the use of AI bring.
University degree in a relevant field.
