Job Description:
This position reports to the Multi-Function Electronic Warfare Director and provides comprehensive administrative support for business unit programs. Responsibilities include calendar management meeting coordination and scheduling expense report processing travel arrangements catering special event planning timecard administration and preparation of documents spreadsheets reports and presentations. The role also involves creating and maintaining logs databases inventories filing systems (hard copy and electronic) and status reports. Additional duties may include research and data analysis. Due to exposure to confidential management discussions discretion is essential.
Essential Functions:
- Works independently to perform complex administrative support duties exercising sound judgment and initiative to resolve problems and make recommendations.
- Multi-task effectively amid frequent interruptions and tight deadlines
- Effectively prioritize assignments and deliver consistent high-quality results
- Exercise sound judgment and maintain strict confidentiality with sensitive information
- Manage and safeguard sensitive documents and files for leadership
- Provide administrative guidance within defined scope of responsibilities
- Assist in analyzing objectives establishing plans and resolving project issues
- Monitor and manage critical department information projects and schedules
- Ability to obtain DoD security clearance.
Qualifications:
- Requires a High School diploma or equivalent and a minimum of 4 years of prior experience or 2 years post-Secondary/Associates Degree with 0 to 2 years of related experience.
Preferred Additional Skills:
- 2 years of experience as an administrative assistant
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook and Teams)
- Strong organizational skills with exceptional attention to detail
- Excellent communication skills across all organizational levels
- Proven ability to work collaboratively and maintain cooperative working relationships
- Prior defense industry experience
- Knowledge of Concur Travel Booking and Expense System
- SharePoint administration experience
- Confluence administration experience
