Job Summary

The program coordinator manages the daily operations of the Medical Monitoring Project (MMP). Specific duties at the local level include: coordinating supervising and evaluating the activities of the MMP field staff ensuring that the study protocols and security and confidentiality guidelines are followed and overseeing quality assurance activities. The PC will also participate in CDC site visits routine calls with their CDC MMP project officer monthly MMP all-site conference calls and other pertinent meetings.

Responsibilities:

  • Assist the Principal Investigator in executing the objectives of the MMP project.
  • Plan and coordinate the annual MMP cycle.
  • Train and supervise full-time and part-time field staff who interview approximately 200 participants and provide linkage to HIV care and supportive services as needed.
  • Monitor and evaluate recruitment interviews and medical record abstractions for quality assurance.
  • Manage multiple databases utilizing PGP encryption software along with secure data transfer to the CDC-funded MMP Data Coordinating Center.
  • Coordinate all phases of the data collection process from Institutional Review Board (IRB) submissions (as needed) to data collection.
  • Creates and modifies informed consents protocols and recruitment materials in compliance with IRB and funding agency requirements.
  • Identifies medical and prevention materials needed for each MMP cycle.
  • Assist in developing local survey questions.
  • Develop and maintain scheduling for MMP staff for each MMP cycle ensuring safety and security.
  • Maintain inventory of supplies incentives and equipment.
  • Responsible for receiving distributing and reconciling all participant incentives.
  • Coordinate and conduct pre-implementation and ongoing training for project staff.
  • Develop and maintain relationships with medical facilities and community-based organizations including collaborations for different projects or data requests.
  • Development of protocols for field and office use.
  • Supervise MMP staff and ensure protocols are followed including conducting weekly supervision.
  • Participant in CDC site visits trainings national calls and regular conference calls.
  • Coordinates submission of CDC progress reports.
  • Collaborate with other divisions of the Philadelphia Department of Health.
  • Serve as back-up for the data manager and interviewers/abstractors.
  • Provide overall project management.

Skills:

  • Ability to communicate clearly in writing and verbally.
  • Able to work independently or with others.
  • Willing to ask questions and keep others informed.
  • Meet deadlines and work with minimal supervision.
  • Must be organized.
  • Have a working knowledge of the case definitions for HIV and AIDS.

EXPERIENCE:

3-4 years experience working in HIV the HIV field required

Prior experience coordinating a project is a plus

Prior experience conducting surveys

EDUCATION REQUIREMENT:

Completion of a bachelors degree program (in public health or related field) at an accredited college or university with a minimum of the experience listed above. Completion of a masters degree program in public health or a related field may count toward one year of public health program or HIV care management experience.
