Ko tōu ake mahi - What youll do
The Government Services group is made up of four teams: Ministerial Correspondence OIA Services Parliamentary Advice and Coordination and Official Information Advisory.
Our group provides timely high-quality advice communications and governance support to the Executive Leadership Team and services to support ministers.
We manage processes training and other work related to Parliamentary questions select committees Ministerial and Director-General correspondence Official Information Act and Privacy Act replies to Ombudsman complaints and the proactive release of Cabinet material and ministerial decision-making documents.
We are seeking someone who is Wellington-based to join us on a fixed term contract until 30 June 2026.
On a day-to-day basis you will:
Upload papers log track transfer and report on policy briefings Parliamentary questions Ministerial correspondence Official Information Act requests Ombudsman cases proactive releases and other key documents.
Complete general administrative tasks as required (for example triaging incoming post filing documents in SharePoint and the bespoke workflow system).
Support the management of workflows including requests for briefing reference numbers in our workflow system.
Ensure data systems and processes are accurate and updated in real time to support performance reporting.
Proof or prepare reports responses and presentations.
Reconcile and maintain a register of IT software licences.

High attention to detail and accuracy.
Previous coordination or administration experience.
Excellent people skills and the ability to collaborate and build positive working relationships internally and externally.
Initiative and curiosity about how tasks and information connect using your growing machinery of government knowledge to anticipate impacts solve problems and keep things running smoothly.
Experience with basic technical troubleshooting to resolve common issues with software hardware and networks relevant to workstreams.
Experience using communication and collaboration tools (such as MS Teams Zoom) to assist the group with scheduling requirements and managing calendar invites.
Demonstrated proficiency in the MS Office Suite electronic records systems and workflow systems.
Exposure to the Official Information Act 1982 and Parliamentary processes would be helpful but not a requirement.
