Administrative Associate Job Summary
Reporting to the Head of Human Resources the Administrative Associate provides support to the Leadership team and CEO along with employees located in our Oakville Administrative Associate is responsible for office coordination and providing support on a host of administrative duties to keep the office operating appropriately
Normal reporting work hours are Monday to Friday 40 hours per week.
Responsibilities
Provide administrative support but not limited to:
General Duties include:
Front Office Support:
- Act as an ambassador for the Oakville office by maintaining a presence at front of office while supporting Oakville delivery and visitor access maintain sign-in documentation receive visitors and direct general enquiries to appropriate personnel. Ensure visitors are managed appropriately and directed to their host
- Maintain up-to-date database of key contacts/building management/emergency contacts.
- Participate in groups and committees to encourage positive work culture
- Manage security fob system creating new fobs as required for new hires.
- Administration of our Motivosity system which encourages recognition inclusion and reward.
- Mail couriers shipping and receiving point of contact for all deliveries
Café/Lunchroom:
- Maintain lunchroom - stock of coffee teas and supporting products
- Ensure adequate stock of lunchroom dishes glasses and cutlery
- Run dish washers as need
- Ensure proper lunchroom supplies and products available for larger meetings and events (i.e. potlucks board meetings)
Meetings:
- Schedule meetings take meeting minutes editing and preparation of presentations.
- Support meetings with catering and coffee services as needed
- Support the functioning of board meetings and other team gatherings by providing logistical schedule and support for ordering materials catering and coordinating calendars
- Maintain ongoing agendas and bookings to support the running of our Senior Leadership Team weekly meeting.
Procurement Support:
- Support procurement activities per procedures.
- Create Quick Purchase Orders (POs)<$50000 as requested by Business Units. Processing PO increases as requested by Business Units.
- Create Purchase Requisitions (PRs) as requested by Business Units.
- Create New Vendor Set ups in system update vendor addresses.
- Credit Card related procurements including but not limited to pre-approved Credit Card purchases and Fleet Vehicle expense including collection of receipts and coding
- Receipting receipting invoices against POs (reviewing Invoice folder daily seek proper approval for invoices and receipt).
- Monthly PO Accruals per process account for current PO accruals monthly and submit report.
Other:
- Coordinate and oversee required services and supplies: i.e. office supplies housekeeping printer supplies and servicing coverall services floor mats lunchroom and restroom consumables.
- Support filing and storage of records reports SharePoint etc.
- Updating of Aturas SharePoint assisting with updates and edits as requested
- Corporate Fleet vehicle management: service tire change documentation cleaning service etc.
- Assist in booking of fleet vehicles for SLT and other staff as needed
- Manage travel bookings in Concur for SLT and other staff as needed
- As directed prepare for Quarterly gatherings by organizing hotel transport and other logistics for participants
- Confidential maintenance of Presidents calendar/email by prioritizing and tracking items for follow-up.
- Required to exercise discretion and confidentiality in dealing with employee related information when interacting with other employees.
- Organize and support administrative aspects of any special events Atura may be holding. This may include sending out invitations tracking attendance ordering refreshments and managing audio visual needs for meetings.
- Other duties as required
Qualifications & Education
- Post Secondary education College diploma or University
- Experience in Business Administration Office Management or Executive Assistant
- Experience with Maximo or similar work management tool as asset
- Strong communication skills written and verbal
- Strong MS Office skills
- People person team player ready to participate
