Administrative Coordinator Clinical (Six Month Contract)

What you will do

Lets do this. Lets change the this vital role you will primarily be responsible for managing multiple and/or complex calendars coordinating meeting arrangements. Will also manage complex administrative support activities and occasionally assisting supervisor in coordination of management issues (i.e. focal reviews goals and department/staff goals and objectives).

  • Providing administrative support to the Global Study Operations (GSO) team at Amgen Canada
  • Independently coordinating calendared meetings complex onsite/offsite meetings
  • Providing invoice and Purchase Order (PO) management
  • Tracking relevant budgets invoices accruals and reconciliation with finance.
  • Providing accurate and timely updates to the GSO team
  • Handle and prepare documents of a highly confidential and sensitive nature execute consistent and precise follow-up by ensuring issues are resolved and projects completed in a timely manner
  • Requesting tracking and supporting execution of Confidential Disclosure Agreements (CDAs) as required by internal stakeholders
  • Project tracking (i.e. budget database timelines) as well as demonstrating the ability to interact with outside vendors and various levels of management.
  • Execute tasks with an understanding of company compliance standards and policies.

Basic Qualifications:

  • 2 years of administrative coordinator experience

Preferred Qualifications:

  • Proven ability to handle confidential information with integrity and discretion.
  • Organizational & Planning Competency: ability to structure prioritize and manage multiple parallel activities
  • Demonstrated leadership and strong collaboration with Administrative colleagues within the company.
  • Experience working with external organizations and vendors including but not limited to: Research Ethics Boards clinical research networks translation services printing services;
  • Advise stakeholders on the best way of conducting administrative tasks.
  • Administer and be an excellent user of essential IS/IT administrative systems to increase efficiency in day to day work including meeting technology SharePoint Online etc.
  • Demonstrated advanced proficiency across a broad range of administrative tools processes and procedures.
  • Ability to exercise considerable discretion judgment tact and diplomacy.
  • Demonstrated ability to take the initiative to respond proactively to rapidly changing priorities.
  • Ability to work independently with only general guidance.
  • Excellent time management organizational skills and attention to detail.
  • Ability to network within the broader organization externally and internally.
  • Excellent interpersonal and communication skills as demonstrated by the ability to work effectively with others at all levels of the organization and externally.
  • Present a professional and welcoming presence representing the team and handling communications with internal and external customers and corporate partners.
  • Experience in Pharmaceutical/Biotech industry.
  • Bilingual: French/English
  • Proficiency with Microsoft 365 Enterprise systems such as SAP Ariba is an asset.

The salary range for this position is $64430 - $81312 CAD.
