Job Summary

Spotsylvania County Public Schools is seeking a Human Resource Program Assistantto work closely with the Benefits Specialist on a variety of support functions specifically within Workers Compensation to further enhance the departments efficiency and to meet and exceed the Divisions goals. This position will also specialize in processing requests under the Americans with Disabilities Act (ADA) and supporting general benefits adminsitration related tasks for the division.

Essential Functions:

  • Works closely with the Benefits Specialist; assists with the scanning and faxing of documents to various agencies (VRS AUL The Standard The Company Nurse etc.) in support of overall benefits administration including Workers Compensation and requests filed under the Americans with Disabilities Act (ADA)
  • Serves as case manager for Workers Compensation cases handling case files from the initial incident report through claim resolution
    • Serves as the primary point of contact for all workers compensation claims
    • Ensures timely and accurate submission of required documentation to relevant state agencies and insurers
    • Monitors case progress maintain detailed claim records and update HR systems accordingly
  • Supports the accommodation process of ADA requests through collaboration with HR Leadership
    • Receives and maintains request documentation
    • Engages in dialogue with applicant and helps to identify potential accommodations
    • Explores accommodation options and proactively seeks implementation
  • Supports the benefits administration of new hires leavers and current employees who experience a change in their coverage
    • Sends notice of opening correspondence to individual employees and supports benefit related questions concerning plan information and enrollment troubleshooting
    • Tracks enrollment progress and maintains reporting spreadsheets
    • Prepares and distributes COBRA reports for employees who are experiencing a loss of coverage (leavers aged-out dependents)
    • Supports annual Open Enrollment proceedings as directed by the Benefits Specialist
  • Assists the administration of FMLA and Short Term Disability requests:
    • Partners with the Benefits Assistant to track and administer FMLA and short-termbenefits offering
    • Supports communication efforts between employees medical providers and insurancerepresentatives in the implementation of FMLA and short-term disability benefits.
  • Prepares OSHA reporting inclusive of any incidents reports for the prior year
  • Maintains Human Resource database (Enterprise ERP (MUNIS) and Employee Self-Service) with Workers Compensation entries and updates including pertinent employee information (addresses phone numbers etc.) reviewing regularly to ensure the accuracy of data stored within
  • Partners with Payroll to ensure proper deductions are being made from an employees account; works with payroll to provide wage information as required by Workers Compensation insurance carriers

Education and Experience:

  • High School Diploma or GED
  • A minimum of two (2) years working within a Human Resources department ideally within the Education industry
  • Two (2) years of experience working with personnel and benefits programs one (1) year being direct experience supporting workers compensation and/or ADA
