Synergy a leading Boston commercial realestate firm seeks an experienced Administrative Assistant to support internal teams and cross-functional initiatives in a fast-paced collaborative environment. This role is ideal for a highly organized administrative professional who thrives on coordination systems and follow-through rather than front-desk or facilities work.
The Administrative Assistant will work closely with the Executive Assistant to the CEO serving as a key partner in ensuring administrative processes approvals and internal operations run smoothly across the organization.
Reports to: Executive Assistant to the CEO
Location: In-office (Boston MA)
Key Responsibilities
Administrative & Team Support
Provide proactive administrative support to multiple internal teams and leaders (non-CEO)
Manage shared calendars meeting coordination and complex scheduling needs
Prepare meeting materials documentation and internal communications
Track action items deadlines and follow-ups to support execution and accountability
Draft format and maintain internal documents and presentations
Systems Access & Platform Approvals
Review and approve technology quotes in alignment with company guidelines
Approve new software licenses and system access requestsCT1
Approve creation of SharePoints Teams and Domains
Partner with IT vendor and leadership to ensure governance and consistency across systems
Internal Initiatives & Events
Support internal meetings and team initiatives as needed
Provide coordination and administrative support for internal team events and gatherings
Assist with logistics and execution in partnership with stakeholders
Executive Partnership
Work closely with the Executive Assistant to the CEO on administrative priorities and special projects
Provide overflow administrative support as needed
Serve as a reliable backup for basic office needs during absences or peak periods

46 years of experience in administrative executive support or operations roles
Experience managing internal systems approvals or access controls
Strong organizational communication and prioritization skills
High level of professionalism discretion and sound judgment
Ability to work independently while collaborating closely with leadership and teams
