Job Duties

The Deputy Clerk (Grade 8) is assigned docket and operational responsibilities in a high volume fast-paced office with frequent critical deadlines. This position requires a commitment to providing excellent customer service to a diverse population and responding to internal and external stakeholders and court users with a friendly courteous and positive attitude. The Deputy Clerk must work effectively in a team environment uphold the Oath of Office and maintain the strict confidentiality of all matters related to the Williamsburg/James City County Juvenile and Domestic Relations Court.

This position performs case processing duties for criminal and civil cases including delinquency abuse/neglect custody/visitation child/spousal support and protective orders which may involve complex and traumatic subject matter. Duties include filing and maintaining court records entering data into automated case management systems scheduling hearings preparing correspondence and dockets assessing fines and processing payments and providing administrative support to the judge in the courtroom. This role also requires delivering professional customer service to the public attorneys and court agencies by providing case status and procedural information. Must be able to multitask meet strict deadlines take initiative manage a high-volume workload with accuracy and assume additional responsibilities as assigned by the Clerk. This position occasionally requires overtime.

Minimum Qualifications

High school diploma or equivalent required. Qualified applicants must demonstrate a positive attitude and the ability to meet strict deadlines while handling a high volume of paperwork. Applicants should be highly detail-oriented accurate and possess strong time management and customer service skills. This position requires the ability to clearly explain procedures in person excellent written and verbal communication skills and advanced proficiency with office automation systems and computer software including Microsoft Office Suite. A high degree of data entry speed and accuracy is essential. Competitive applicants will be highly organized self-motivated able to work independently as well as part of a team and capable of manage changing priorities. Additional Considerations

Preferred qualifications include experience in the judicial system within the Commonwealth of Virginia legal or professional office experience customer service experience and/or prior work in a trauma-informed environment. Prior experience with data entry financial processing and providing face-to-face customer service in a challenging environment is also preferred.
