Role Background

The Personal Assistant to CEO and Chair of Trustee plays a pivotal role at the heart of the organisation ensuring the smooth and effective operation of the CEOs office and supporting the governance infrastructure of the charity. As the primary point of coordination for executive administration the role provides highquality confidential support to both the CEO and the Chair of the Board enabling them to focus on strategic leadership and organisational delivery. Working closely with the CEO the postholder helps to maintain strong governance systems supports compliance with legal and regulatory requirements and ensures that key meetings operational processes and reporting cycles run efficiently.

Role Purpose

You are responsible for providing confidential high quality and efficient secretarial / administrative support to the CEO and Chair of the Board of Trustees. In addition you provide operational oversight of core corporate governance processes and systems to support the CEO in ensuring compliance with legalisation and contractual requirements.

Role Outcomes

  • Providing secretarial support for Board meetings ensuring the timely circulation of reports and proactive follow up of actions.
  • Supporting the CEO to maintain accurate Companies House and Charity Commission records and full compliance.
  • Working closely with the CEO to undertake a range of governance related administrative tasks for the organisation
  • Supporting and organising the schedule of the CEO on a day-to-day basis
  • Providing administrative oversight of sub-contracting processes
  • Coordinating a calendar of key meetings and events across the organisation
  • Providing secretarial support at a range of meetings as directed by the CEO
  • Providing administrative support and oversight of the internal operational plan reporting process and systems to enable high quality efficient and timely reports to the CEO and the Board
  • Ensuring that confidentiality is maintained at all times
  • Maintaining effective CEO office filing systems.
  • Consistently working in alignment with our aims objectives policies core values and standards set out in our employee handbook.
  • Fully participating in all relevant training to develop and maintain your performance in the role.

Qualifications

Essential

  • GCSE Maths English at Grade 4 or above or equivalent.

Desired:

  • Further Education qualifications in Business Support / Business Administration

Experience

Essential:

  • Previous experience as a PA / EA communicating with multiple parties.
  • Experience of working in a fast-paced environment
  • Experience of handling confidential information with discretion

Desirable:

  • Background of working with Mental Health / Commissioners / Local Authority would be advantageous
  • Experience of identifying opportunities and implementing change to processes

Skills and Abilities

Essential:

  • Excellent communications skills both written and verbal
  • Excellent organisational skills time management and workload management
  • Excellent attention to detail
  • Good IT Skills including Microsoft Office particularly Word Outlook Office 365 and PowerPoint
  • Problem-solving skills and initiative
  • The ability to work independently and in a team

Desired:

  • Have a proactive approach in in pre-empting and have the ability to work on own initiative
