General Responsibilities:
- Organize maintain and update in-house MXP inventory system with updated yearly tour rates new tour programs updated program details loading photos for online use and maintaining the operator contacts.
- Organize maintain and update in-house MXP Port Information system with updated ports of call and maintaining Port Agent contacts.
- Organize and maintain Pre/Post cruise programs as planned in the different itineraries
- Communicate with hotel or operators on regular basis on Pre/Post Programs
- Monitor and cancel unused inventory with hotels before cancellation deadlines
- Manage guest participation lists and data needed for hotel bookings
- Organize and ensure all transfers are confirmed for the different pre/post groups as required
- Ensure any special requests/guest needs are requested to the Tour Operators.
- Manage communications with cruise partners on their pre/post program requirements.
- Guest special requests and preferences.
- Bookings of new bookings and special FIT program requests
- Access/monitor cruise partner systems for any passenger or program details as required
- Confirmed guest bookings & preferences
- Advise management when programs are due to run under minimum and require FIT rates
- Ensure operators & hotels confirm German services transfers and special requests
Operational Responsibilities:
- Organize and maintain the office share-drive Pre & Post Program files ensuring they are loaded with updated rates and programs.
- To adhere to all Company Policies and Procedures Manuals and Directives.
- Maintain MXP tour records updated at all times according to each brands necessity and provided yearly rates.
- Maintain MXP Port files updated at all times according to new regulations and port particulars.
- Coordinate the Pre/Post programs with operators and charter/brand partners.
- Coordinate with Directors of Operations for any charter flight manifests or operational needs
Financial Responsibilities:
- Ensuring that MXP rates and loaded accurately and timely for optimized operations of the ships and brand file updates.
- Ensuring that the Pre/Post programs are run efficiently and within the stipulated participation needs and/or that the FIT programs are still profitable vs Atlas retail rates practiced.
Team Communication and Meetings:
- To attend meetings with the team and different brand teams as required.
- Ensure the Senior Land Programs Operations and the Port Operations Coordinator are made aware of all on going matters pertaining to each of them.
- Maintain communication with onboard teams as needed.
Qualifications :
- College Degree/Diploma beneficial.
- Hotel or Tourism School beneficial.
- Good geographical knowledge of the world and ports of call that Mystic Cruises visits.
- Must be fluent in written and spoken English:
- Fluency in German is beneficial but not essential.
- Must have excellent administrative skills (proficient in Outlook Word Excel and PowerPoint).
- Very good organizational skills are necessary along with the ability to multi-task.
- Must possess the ability to interact with all levels of people.
- Must be able to remain calm under pressure.
- Must be service minded with an outgoing charming and friendly personality.
- Should be familiar with working in an office environment and communicating with different departments.
