Job Summary
The Campus Venue Events Planner under the direction of the Director of Event Operations serves as the lead for event planning and coordination for the Event Services Team of College Park Center and Texas Hall. This position acts as the main liaison with the event promoter/venue user to coordinate and oversee all phases of the event process including meeting with clients regarding the event and all event details reviewing space setups and technical needs disseminating event information throughout the department and with contracted vendors managing onsite event staff and closing out events. This position will also oversee the budget of each event. Serves as the onsite manager on duty during assigned events and provides leadership to event staff. The annual salary for this position ranges from $52000 $66000. The final offer will be based on the candidates experience qualifications and overall fit for the role.
Essential Duties And Responsibilities
Serves as the primary planning authority and strategic liaison for assigned events at College Park Center and Texas Hall. Lead all phases of event advancement and execution exercising independent judgment to interpret and apply facility use agreements venue policies safety regulations and operational standards. Provide expert guidance to promoters clients and tenants to ensure event concepts logistics and timelines align with contractual obligations venue capabilities and institutional priorities. Ensure all required agreements insurance documentation and financial obligations are satisfied prior to event load-in. Directs and oversees event operations for assigned events serving as the Event Manager on Duty with full responsibility for operational outcomes. Makes real-time decisions related to staffing crowd management life safety compliance and incident response. Enforces building emergency procedures and evaluates operational performance identifying opportunities for continuous improvement and recommending procedural or policy enhancements to senior leadership. Plans and leads pre-event meetings and coordinate across internal departments external vendors contractors and campus partners to ensure seamless execution of events. Develops and disseminates comprehensive event documentation ensuring all stakeholders receive accurate and timely information. Balances competing priorities and operational constraints while maintaining high service standards and regulatory compliance. Oversees event-specific budgets monitoring expenses and resource allocation to ensure alignment with contractual terms and departmental financial objectives. Identifies operational efficiencies and cost-effective solutions while maintaining service quality and safety standards. Supports accurate post-event reconciliation profit and loss reporting. Builds and maintains strong professional relationships with clients promoters tenants and internal stakeholders. Exercises discretion and sound judgment in resolving escalated client concerns operational challenges or service issues. Represents the department professionally during high-profile events and interactions. Performs other related duties as required to support departmental objectives.
Minimum Qualifications
Bachelors degree in hospitality management sports management or a related degree. Two (2) years of experience in the hospitality/public assembly venue industry or coordinating events/meetings or six (6) years equivalent mix of education and relevant experience in similar role. Expert understanding and experience applying local and national fire codes life safety guidelines and ADA regulations as they relate to events and crowd management.
Preferred Qualifications
Five (5) or more years of progressive experience within the hospitality/public assembly venue industry capacity coordinating major complex events and meetings. Experience with NCAA Division I Athletics events; IAVM Venue Management School graduate. Industry related certification such as Certified Meeting Professional Certified Meeting Manager or Certified Venue Professional.
